Executive Assistant
Location: Dubai
Seeking 6-9 Month Contract
Salary up to 32,000 AED per month pro rata depending on experience
About the Role:
The Executive Assistant will provide the primary day to day coordination, and strategic administrative support, to the Head of Middle East, and senior team. Responsibilities will include, but not be limited to, the below.
Key Responsibilities:
- Scheduling meetings for the Head of Middle East with key clients, members of the Partner group and other internal or external stakeholders
- Support with strategic initiatives, alongside or on behalf of the Head of Middle East, and acting as a project coordinator across key strategic projects
- Formatting and compiling of internal and external papers, including but not limited to client packs, project resources, RFP’s and internal presentations
- Managing complex overseas travel, and associated logistics including flights, hotels and ground travel and ensuring a detailed itinerary is in place
- Liaising with clients’ assistants and ensuring meetings and appointments are reconfirmed where required
- Proactively scheduling itineraries according to priority when time conflicts occur, and communicating changes effectively
- Ensuring the Head of Middle East is aligned to their daily agenda and can be kept on time with meetings
- Actively reviewing all incoming emails in order of priority and either responding directly, flagging to Head of Middle East to reply personally, or passing to other members of the senior team
- Ensuring all confidential information is treated sensitively and shared appropriately
- Attending various committee meetings, office and/or regional Heads meetings, or ad hoc meetings and taking minutes where required
- Providing day to day administrative support including the compiling and submitting of expenses and invoices
- Supporting with the organisation of internal and external events, meetings and conferences
- Responsible for ensuring all information security processes, policies and procedures are adhered to and any issues or concerns are raised with the Cyber Security team
- Ensure full compliance with all local protection regulations and privacy controls, and any related issues are raised via the appropriate channels
Requirements:
- Experience as an Executive Assistant supporting senior leadership
- Advanced working knowledge of Microsoft Office, in particular PowerPoint and excel
- Good qualifications, or equivalent experience; a Bachelor’s degree would be preferred but is not essential
- Able to adapt quickly and proactively to meetings, schedules or travel plans changing at last minute
- A team player who is flexible with supporting the wider Business Operations team where required
- High level of attention to detail and the ability to pick things up quickly
- The ability to interact and build relationships with stakeholders across all levels and regions
- A professional individual who is comfortable working within a corporate environment as part of a busy and entrepreneurial team
