About the Role:
We are looking for a Senior Assistant to provide secretarial, administrative and office management support to a manager(s)/department, according to internal guidelines, in such a way that it enables the Manager(s)/department to perform their responsibilities in an effective and efficient way
- Signals bottlenecks in own and related work processes, pro-actively formulates and defines alternatives and implements these autonomously after approval.
- Regularly contacts customers, suppliers, or employees outside the immediate work area to exchange information and resolves routine queries and problems.
- Performs administrative office work such as transaction and document processing, record keeping, and report compilation, requiring individual judgement and quality control of data.
- Has advanced knowledge and applies it to standard and non-standard cases to compile reports, drawing data from a variety of sources within and outside of the department and prepares special reports within guidelines.

- Ensure administrative processing of information and documentation, so that documents are easily accessible.
- Excellent record keeping, and report compilation, requiring individual judgment and quality control of data.
- Manage agenda’s, appointments, and travel arrangements of manager(s) and consult with manager(s) about priorities, scheduling issues, and solutions.
- Receive and dispatch incoming questions/information. Inform and communicate to internal and external stakeholders about administrative processes and services concerning the department.
- Plan, host, and organize meetings, take down minutes and ensure distribution and guard and follow-up on action points and deadlines.
- Compiles reports, drawing data from a variety of sources within and outside of the department and prepares special reports within guidelines.
Requirements:
Minimum Qualifications:
- High School or College Diploma in Administration
- Certificate in Administration
Minimum Experience:
- 8+ years’ experience in an administrative role and providing support to executive level in an established organisation
