Executive PA  — Private Family (Zimbabwe, Relocation Required)

Employer: Prominent family with multiple businesses
Location: Zimbabwe (relocation required)
Open to: International candidates — not limited to UAE applicants
Salary: USD 6,000–8,000 per month (depending on experience)

Role Overview:

The Executive PA will provide high level business and personal support to a private family who own and manage multiple companies. This is a hands on role requiring excellent organisation, adaptability, and discretion. The position covers everything from diary and travel management to project coordination, household management, and administrative support across the family’s businesses.

The successful candidate must be willing to relocate to Zimbabwe and will gain exposure to a broad range of industries and responsibilities, with opportunities to learn and grow alongside the family’s ventures.

Key Responsibilities:

Schedule & Personal Tasks

  • Organise and manage the employer’s calendar, appointments, and meetings.

  • Plan and coordinate domestic and international travel (flights, accommodation, visas, transport, restaurant bookings).

  • Ensure all travel documents are complete and up to date.

  • Coordinate logistics for meetings, preparing all necessary materials in advance.

  • Assist with personal errands such as gift shopping, appointments, and household matters.

  • Manage home organisation, visa and passport applications, and online purchasing including freight forwarding.

Communication

  • Act as the primary point of contact between the employer and internal/external stakeholders.

  • Draft, edit, and distribute correspondence, reports, and presentations.

  • Maintain strict confidentiality and discretion in handling personal and sensitive information.

Administrative Support

  • Maintain efficient filing and record-keeping systems (digital and paper).

  • Handle phone calls, emails, letters, and other correspondence with professionalism.

Research & Reporting

  • Conduct research and summarise findings to support executive decision-making.

  • Prepare and analyse reports related to projects and initiatives.

  • Liaise with lawyers, reviewing and conducting legal agreements where required.

Office & Household Management

  • Oversee office supplies inventory and order as needed, ensuring cost-effectiveness.

  • Assist with staff onboarding and training in administrative processes.

  • Coordinate with accountants, household staff, and company employees.

Project Coordination

  • Support the planning and execution of projects, events, and initiatives across the family’s businesses.

  • Monitor project progress and provide regular status updates.

  • Assist with audits, reviewing systems, and participating in wider company projects (such as website or app development).

Technology Proficiency

  • Confidently use software and tools for scheduling, communication, biometrics, and document management.

Problem-Solving & Adaptability

  • Proactively address and resolve challenges in a timely manner.

  • Demonstrate flexibility in handling a wide variety of business and personal tasks.

Skills & Qualities
