Head of Personal Assistants - Russian Speaking

Full Time, Permanent

New Jersey, USA

$250,000 - $280,000 p.a. base 

 

We are seeking a highly experienced and hands-on Head of Personal Assistants to lead and manage a team of 6 PAs supporting a high-profile family who own and operate a highly successful international company. This is a key leadership role responsible for ensuring the PA team delivers consistent, high-level support across a complex and fast-moving personal and professional environment.

 

WHAT YOU'LL DO

  • Lead, manage, and support a team of 6–7 high-performing PAs
  • Ensure tasks are distributed fairly and efficiently, and all team members are aligned and meeting deadlines
  • Foster a collaborative, professional and friendly team culture with high attention to detail and discretion
  • Oversee the broader household operations, including coordination with a 15–20 person domestic team
  • Act as the eyes and ears of the family, ensuring smooth day-to-day operations and proactive issue resolution
  • Manage complex international schedules for the family, including business meetings, personal appointments, and private jet travel
  • Work closely with PAs to synchronize logistics and respond to last-minute changes with flexibility and precision
  • Oversee planning and execution of high-end personal events, ensuring alignment with the family’s preferences and standards
  • Liaise with vendors, venues, and service providers globally to ensure flawless delivery
  • Serve as the primary communication bridge between the family and the PA team
  • Ensure timely updates, clear instruction flow, and rapid response to requests and changes
  • Ensure all activities reflect the utmost discretion and confidentiality
  • Maintain elite service standards while quickly identifying and addressing red flags or service gaps
  • Anticipate family needs and mitigate issues before they arise

 

WHO YOU ARE

  • Based in New Jersey, USA, or willing to relocate
  • Fluent both in English and Russian
  • Extensive experience supporting UHNW families and working in high-pressure, high-trust roles
  • Strong leadership background in managing PA and support teams, including training, delegation, and performance management
  • Skilled in setting up processes to ensure seamless daily operations and efficient workflow management
  • Intuitive, detail-focused, and solution-oriented with excellent people management skills, able to balance authority with empathy to build high-performing, loyal teams
  • Proven ability to act as the first point of escalation for PAs and staff, resolving issues quickly and effectively while keeping principals fully supported
  • Professional experience in environments closely connected to corporate leadership or executive business operations, serving as a bridge between personal and business priorities
  • Expertise in coordinating complex schedules, overseeing international and domestic travel, and managing large-scale events and projects with discretion and precision
  • Trusted advisor to principals on team structure, vendor management, and operational efficiencies, ensuring both personal and professional matters run seamlessly
  • Authorization to work in the US
