Job Title: Executive Assistant and Business Operations Manager
Location: Central London

Working Pattern: In Office
Salary: £45,000 – £60,000pa (DOE)


A dynamic property firm based in Central London are seeking a highly proactive EA and Business Operations Manager. Their team values excellence, collaboration, and innovation, and we pride ourselves on delivering outstanding service to our clients while maintaining smooth internal operations.

 

The Role:
This multi-faceted role combines executive support, client management, and operational oversight, placing you at the heart of our business. You will ensure the smooth running of day-to-day operations while enhancing the experience of both clients and internal teams.

Key Responsibilities:

  • Act as a central point of contact for client access requests, proposals, terms of engagement, and client portal management.
  • Oversee caretaker administration, scheduling, and communications to ensure seamless operational delivery.
  • Administer business rates for guardians, intermittent, and charitable occupancy, liaising with councils and clients while maintaining accurate records.
  • Maintain and optimise HubSpot and other CRM systems, ensuring data accuracy and timely reporting.
  • Draft client reports, coordinating with internal teams to gather necessary information.
  • Collaborate with finance on invoices, billing, and business-rate processes.
  • Plan and coordinate networking events, including logistics, invitations, and agendas.
  • Manage the co-founder’s calendar, scheduling travel and meetings efficiently.
  • Coordinate property handbacks and support client off-boarding processes.
  • Manage the co-founder’s LinkedIn account and support thought leadership initiatives.
  • Lead ad-hoc projects to improve processes, reporting, and operational efficiency.
  • Anticipate team needs and streamline communications and operations across the business.

About You:

  • Highly organised with excellent attention to detail.
  • Exceptional communication skills, both written and verbal.
  • Strong project management skills and the ability to prioritise multiple tasks.
  • Experience in executive support, client management, or operations.
  • Comfortable using CRM systems (HubSpot preferred) and other business tools.
  • Proactive, resourceful, and able to work independently while collaborating across teams.
