Role: Team Assistant

Salary AED 15,000 - 17,000

On behalf of our client a leading professional services firm we are hiring a Team Assistant, the role sits within the Business Support function. The role provides structured administrative and operational support to senior professionals and wider teams in a fast paced, deadline driven environment.

The successful candidate will work collaboratively with other business support staff, contributing to the smooth running of the office and ensuring high standards of service are maintained at all times.

Key Responsibilities

Office Administration

  • Provide front of house and facilities support, including meeting room bookings, client greeting, and coordination of catering

  • Answer incoming calls, take accurate messages, and assist with general queries

  • Arrange conference calls and support use of video conferencing systems

  • Schedule and coordinate internal and external meetings, lunches, and seminars

  • Organise and manage travel and accommodation arrangements using approved suppliers or online portals

  • Maintain orderly electronic and physical filing systems

  • Manage visitors, including access arrangements and desk allocation

  • Assist with office events and internal meetings

  • Support supplier coordination and contract renewals where required

Administrative Support

  • Monitor shared administrative inboxes and action requests promptly

  • Maintain accurate contact records and internal databases

  • Prepare, amend, format, and convert documents across various formats

  • Manage document comparison, version control, and filing

  • Print, bind, scan, and prepare documents as required

  • Assist with archiving and document storage processes

  • Provide ad hoc administrative support across the wider team as needed

Skills & Experience Required

  • Fluent in written and spoken English

  • 2–3 years’ experience in a busy administrative or office support role, ideally within professional services

  • Strong organisational skills with the ability to manage multiple priorities

  • Highly methodical, detail-oriented, and accurate in all work

  • Strong IT skills, including MS Word, Outlook, Teams, PowerPoint, and Excel

  • Proactive, adaptable, and willing to take ownership of tasks

  • Confident communicator, comfortable working with stakeholders at varying levels of seniority

  • Professional, personable, and service-oriented approach
