Location – Dubai
Salary: 30,000 – 35,000 AED per month
Job Summary:
The Executive Assistant / Marketing Assistant delivers comprehensive administrative support to senior executives while also supporting regional marketing activities.
This position requires a high level of professionalism, strong judgment, and the ability to thrive in a fast-paced, demanding environment. The successful candidate will provide outstanding support to both internal and external stakeholders while effectively managing competing priorities across executive coordination and marketing-related initiatives.
Key Responsibilities:
Calendaring, Roadshows, Conferences, and International Scheduling
- Manage complex executive calendars, coordinating meetings, calls, travel, and cross-functional priorities throughout the year.
- Support roadshow scheduling (2–3 per month during peak periods), including LP outreach, confirmations, conflict resolution, and coordination with colleagues responsible for travel arrangements.
- Send meeting invitations and maintain accurate, real-time updates across executive and team calendars.
- Track executive travel schedules and coordinate meeting rooms, building access, catering, and logistical arrangements for international engagements.
- Coordinate meetings across internal teams, acting as a central point of contact for scheduling and communication.
- Manage complex, multi-party scheduling that requires extensive coordination, time zone alignment, and stakeholder relationship management.
- Build and maintain a pipeline of qualified candidates for future hiring needs.
- Ensure all meeting details, materials, and briefing documents are prepared and circulated in advance.
Marketing Responsibilities
Content & Compliance
- Adapt global/pan-EMEA marketing materials for local markets
- Coordinate Compliance approvals, including local disclaimers and regulatory requirements
Event & Brand Support
- Provide branding and logistical support for events
- Manage contracts, merchandise, and event materials
- Liaise with local suppliers, venues, and clients
Project & Vendor Management
- Coordinate onboarding of local suppliers with Legal and Finance
- Liaise with local publishers, Compliance, and product teams
- Provide project management and logistical support for local marketing initiatives
