Executive and Project coordinator
Job Description
Executive Assistant & Project Coordinator (Temporary, 80–100%)
Purpose
Provide high-level executive and project support to the General Manager Switzerland/Austria, coordinating communication, managing schedules, preparing confidential documents, and supporting internal and external stakeholders.
Key Responsibilities

Manage complex calendars, meetings, travel, and confidential information for the General Manager

Prepare agendas, presentations, reports, and meeting materials; take minutes and track actions

Act as key liaison between the General Manager, leadership teams, head office, and external partners

Coordinate projects, maintain documentation, track timelines, and support change initiatives

Manage information flow, maintain documentation systems, and support research and data organisation
Safeguarding

Follow safeguarding policies and code of conduct

Report safeguarding concerns appropriately and participate in required training
Key Relationships
-
Reports to: General Manager

Internal: School leadership teams, regional management, head office functions (HR, Finance, IT, Legal)

External: Suppliers, recruitment agencies, authorities, professional advisors, community partners
Requirements
-
3–5 years supporting senior executives or C-suite
-
Strong diary, meeting, and stakeholder coordination in complex environments

Fluent German and strong English communication skills

Advanced Microsoft 365 skills

Highly organised, detail-oriented, discreet, and able to manage multiple priorities
Desirable
-
Project coordination or change management experience

Education or international school sector exposure
-
Experience with knowledge management or data organisation system.
