Our client, an international trading business operating across the UAE, USA, Europe, and China, is looking for an Operations & Finance Coordinator to take full ownership of day-to-day operations, financial tracking, and documentation.

This is a hands-on role focused on execution, accuracy, and accountability — not a basic admin position. This role is ideal for someone who can manage operations end-to-end, keep financials accurate, and ensure everything runs smoothly without constant supervision.

 

Key Responsibilities

Operations & Orders

  • Manage orders after sales confirmation

  • Issue Proforma Invoices (PI)

  • Track incoming payments and update records

  • Coordinate supplier payments

Finance (AP/AR)

  • Maintain Accounts Payable, Accounts Receivable, and Statements of Account

  • Record and reconcile transactions (Excel-based)

  • Cross-check invoices and payments

  • Prepare data for external bookkeepers

Documentation

  • Prepare packing lists and tax invoices

  • Ensure all documents match quantities, pricing, and shipment details

  • Confirm all documents are complete and client-approved before shipping

Logistics

  • Coordinate shipments between suppliers, warehouse, and clients

  • Manage ETD/ETA updates

  • Maintain organized shipping documents (CMR, BL, etc.)

  • Manage courier/logistics accounts (DHL, Aramex, UPS)

Warehouse & Local Coordination

  • Support local deliveries and Free Zone imports

  • Align warehouse, logistics, and documentation

Systems & Reporting

  • Maintain clean Excel trackers and file structures

  • Organize documents (Dropbox or similar)

  • Provide weekly updates on orders, payments, and issues

  • Flag delays or risks early

Admin & PRO Coordination

  • Coordinate visas, medicals, Emirates ID, and labor processes

  • Manage contracts and official documents

  • Prepare WPS salary files

 

Requirements

  • 3–6 years’ experience in trading, logistics, or import/export

  • Strong hands-on experience with invoices, shipping documents, and AP/AR

  • Advanced Excel skills (essential)

  • Fluent English
