Job Title: Executive Assistant

Location: Dubai

Position Type: Full-time

Overview:

We are seeking a highly organized and proactive Team Assistant / Office Coordinator to support a fast-paced, client-focused team. This role will provide administrative, operational, and event coordination support to Project Coordinators and Consultants, ensuring the smooth execution of projects, meetings, and client deliverables.

 

Key Responsibilities:

Administrative & Operational Support

  • Provide day-to-day administrative and coordination support to Project Coordinators and Consultants
  • Prepare, format, proofread, and manage presentations, reports, proposals, status updates, and other client-facing documents
  • Ensure all documentation is accurate, professionally presented, and aligned with company standards
  • Organize and maintain digital and physical files and confidential documentation
  • Provide ad hoc support to the wider team as required

Event & Meeting Coordination

  • Assist with planning and coordinating meetings, interviews, and events
  • Create and maintain invitation and attendance lists
  • Track RSVPs and manage attendee communication
  • Support the successful execution of internal and external events

Stakeholder & Team Support

  • Build strong relationships with internal teams and external stakeholders
  • Maintain professional communication at all times
  • Support collaboration across teams to ensure smooth project execution
  • Handle confidential information with professionalism and discretion

Requirements:

  • Previous experience in administration, coordination, office support, or professional services environments preferred
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Strong attention to detail and problem-solving abilities
  • Ability to work under pressure and manage changing priorities
  • Strong interpersonal skills and ability to engage confidently with stakeholders at all levels
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
