The Role

This is a high level executive support position working alongside a female entrepreneur within the retail industry.

Operating in a fast paced international business environment, this role goes far beyond traditional administration and requires exceptional organisation, professionalism, discretion, and the ability to manage competing priorities with confidence.

You will work closely with the CEO, acting as a trusted partner responsible for maintaining structure, efficiency, and operational flow across a constantly evolving schedule and business landscape.

Working across multiple locations and time zones, you will ensure communication, planning, and execution remain seamless at all times.

The ideal candidate will have previous experience supporting senior leadership within the retail industry and/or working in fast paced scale up environments.

They will be confident operating within a high-growth business, managing changing priorities, and supporting the demands of a dynamic entrepreneurial environment.

Key Responsibilities

Executive Communication Management

  • Manage and oversee the CEO’s inboxes and daily communications
  • Prioritise incoming requests and ensure urgent matters are handled efficiently
  • Draft responses, coordinate follow-ups, and maintain communication flow
  • Filter information effectively to support clear decision-making
  • Ensure important actions and correspondence are never overlooked

Calendar & Schedule Management

  • Manage the CEO’s diary with a proactive and strategic approach
  • Coordinate meetings, appointments, and scheduling across multiple time zones
  • Anticipate scheduling conflicts and resolve issues before they arise
  • Ensure meetings are well-prepared, purposeful, and efficiently organised
  • Protect time for key business priorities and focused work

Executive & Business Coordination

  • Act as a key point of contact between the CEO, leadership team, and external stakeholders
  • Coordinate meetings, briefing materials, and follow-up actions
  • Track priorities, deliverables, and ongoing business commitments
  • Support smooth execution across multiple projects and departments
  • Maintain momentum within a fast-moving operational environment

Travel & Logistics

  • Manage complex domestic and international travel arrangements
  • Coordinate itineraries, accommodation, transport, and scheduling logistics
  • Ensure travel plans align seamlessly with business priorities
  • Support productivity and organisation while travelling across regions and time zones
