Executive Assistant
Job Description
An established private equity investment firm is seeking an experienced Executive Assistant to provide dedicated support to two Managing Directors and a newly appointed Chief Operating Officer.
This is a high-profile, fast-paced role requiring exceptional organisational skills, commercial awareness, emotional intelligence and the confidence to operate autonomously. One of the Managing Directors has a particularly dynamic and fast-moving working style, requiring a proactive EA who can anticipate needs, manage competing priorities and remain composed under pressure.
The successful candidate will become a trusted partner to the leadership team, acting as a gatekeeper, coordinator and problem-solver across a broad range of business and personal matters.
What you'll do:
- Provide dedicated support to two Managing Directors and a Chief Operating Officer, acting as a trusted partner and gatekeeper.
- Manage complex diaries, prioritising competing demands and ensuring efficient scheduling across multiple time zones.
- Coordinate board meetings, investor meetings, leadership forums and portfolio company engagements.
- Arrange domestic and international travel, including flights, accommodation, transport and itineraries.
- Prepare, coordinate and distribute confidential documents, presentations and meeting materials.
- Liaise with senior stakeholders, including investors, portfolio company leadership teams, advisors and external partners.
- Oversee administrative processes, including legal documentation, CRM management, expenses and operational support.
- Provide discreet personal assistance where required, managing sensitive matters with professionalism and confidentiality.
- Anticipate needs, solve problems proactively and ensure the leadership team can focus on strategic priorities.
Who you are:
- An experienced Executive Assistant with a background supporting senior leaders within private equity, investment management, venture capital, asset management or a similarly fast-paced financial services environment.
- Comfortable supporting multiple senior stakeholders with differing working styles and priorities.
- Highly organised, proactive and able to anticipate needs before they arise.
- Commercially minded, with excellent judgement and the ability to prioritise effectively.
- Resilient, mature and emotionally intelligent, with the confidence to work with demanding and high-performing executives.
- Calm under pressure and able to adapt quickly in a fast-moving environment.
- Exceptionally discreet, trustworthy and professional when handling sensitive information.
- Detail-oriented, resourceful and solutions-focused.
- A strong communicator who builds credibility and relationships with stakeholders at all levels.
- Proficient in Microsoft Office and experienced in managing complex diaries, travel and logistics.
