Desk Assistant | £37,000 - £42,000 | Perm | City of London | Hybrid after first six months 

An established and highly regarded investment management firm is seeking a proactive and organised Desk Assistant to join its support team. This is an excellent opportunity for someone looking to develop their career within financial services while gaining exposure to investment management and client relationship support.

The successful candidate will play a key role in supporting Investment Managers and ensuring the smooth delivery of client services. This position requires exceptional attention to detail, strong administrative skills, and a professional approach to client communication.

Key Responsibilities

  • Supporting the Investment Management team with the development and maintenance of client relationships
  • Producing client correspondence, reports and presentation materials
  • Maintaining and updating client records within the firm's CRM system
  • Processing and distributing client documentation
  • Ensuring client files and records remain accurate and up to date
  • Coordinating quarterly client reporting activities
  • Supporting administrative processes including subscriptions, withdrawals and third-party payments
  • Booking meeting rooms and preparing facilities for internal and external meetings
  • Managing visitor registrations and reception arrangements
  • Generating client reports and management information
  • Acting as a first point of contact for client enquiries
  • Answering incoming telephone calls and directing enquiries appropriately
  • Maintaining electronic filing systems and client correspondence records
  • Assisting with post, scanning and document management
  • Supporting execution-only client dealing activities as instructed
  • Arranging catering for meetings and events
  • Managing shared team inboxes and responding to enquiries
  • Maintaining workflow tracking spreadsheets and meeting key deadlines
  • Assisting with process improvements and supporting internal training initiatives
  • Ensuring office supplies and refreshments are adequately stocked
  • Supporting client account administration and closure processes
  • Providing general administrative support as required

Key Requirements 

The ideal candidate will be highly organised, detail-oriented and capable of managing multiple priorities in a fast-paced environment. You will possess excellent communication skills and enjoy working collaboratively as part of a team.

Key attributes include:

  • Strong administrative and organisational skills
  • 2 years experience in a similar role 
  • Excellent written and verbal communication
  • High level of accuracy and attention to detail
  • Strong Microsoft Office skills, particularly Excel, Word and Outlook
  • Ability to prioritise workload and meet deadlines
  • Professional and client-focused approach
  • Previous experience in financial services, wealth management or professional services would be advantageous but is not essential
