Strong communication skills are essential, as senior stakeholders are based across multiple international locations and time zones. The successful individual must be highly adaptable, resourceful, and willing to take ownership of a broad range of responsibilities to ensure the office set-up is completed within tight deadlines and that the business operates efficiently and to the highest possible standards every day. This opportunity would suit an experienced Office/ Operations Manager from the DIFC who enjoys building structure, creating efficient processes, and contributing to the success of a high performing international business.
Key Responsibilities
- Support the initial office set up and ongoing daily operations, including furniture, equipment, deliveries, supplies, and facilities coordination.
- Act as the primary point of contact for building management, local vendors, service providers, and suppliers and process invoices.
- Provide comprehensive administrative support, including expense management, travel arrangements, diary coordination, and meeting logistics.
- Work closely with global HR teams to support onboarding, relocations, visa processes, and employee administration.
- Utilise extensive local knowledge to arrange senior meetings, client dinners at top restaurants, accommodation, events, and other business requirements across Dubai.
- Support ad-hoc projects and operational initiatives as required.
- Take a proactive, solutions driven approach to overcoming challenges and ensuring the smooth running of the office at all times.
Requirements
- 3 years+ of current experience within a financial services or legal organisation located in the DIFC is essential.
- Strong knowledge of Dubai, including local suppliers, venues, business services, and key contacts.
- Exceptional written and verbal communication skills, with the confidence to engage with senior stakeholders across global offices and time zones.
- A polished, professional, and highly approachable manner.
- Absolute discretion and the ability to manage confidential information appropriately.
- A proactive, resourceful, and independent working style with excellent problem-solving abilities.
- Outstanding organisational skills and the ability to manage multiple priorities within a fast-paced environment.
- Flexibility and a hands-on approach, with a willingness to support wherever required during the office establishment phase.
