Executive Assistant to Managing Partner

Remote | Miami, FL Based | $130,000–$150,000 + Benefits

Reports to the Chief of Staff

 

A highly successful private equity firm is seeking an exceptional Executive Assistant to support the Managing Partner. Reporting to the Chief of Staff, this is a high-trust, high-autonomy role providing seamless executive and some personal support across the principal’s business, household, travel, and family affairs. 

 

The ideal candidate will be based in the Miami area, where the principal and his family maintain a residence, and will work remotely with periodic travel to the firm's headquarters in Michigan. This opportunity is suited to an experienced Executive Assistant who thrives in a fast-paced, ever-changing environment, takes genuine ownership of their work, and enjoys anticipating needs before they arise. The successful candidate will provide white-glove support with exceptional attention to detail, discretion, and professionalism.

 

Responsibilities:

Executive Calendar & Scheduling

  • Support the Managing Partner in the management of an exceptionally busy business and personal calendar across Outlook and iPhone, enabling complete accuracy and synchronization.
  • Propose meeting scheduling across business, family, and external stakeholders in accordance with the principal’s preferred scheduling cadence.
  • Prepare and distribute meeting materials immediately prior to meetings to ensure information is current and relevant.
  • Maintain key personal and business dates, including employee birthdays, anniversaries, and important reminders.

 

Global Travel Management

  • Coordinate all domestic and international business and personal travel.
  • Arrange commercial flights, hotels, ground transportation, rental vehicles, and complex multi-leg itineraries.
  • Manage last-minute travel changes, cancellations, and rebookings while personally verifying every detail before travel.
  • Liaise with established travel providers and concierge partners to deliver a seamless travel experience from departure through return.

 

Financial & Administrative Support

  • Assist with domestic and international wire transfers, ensuring payment details are verified and accurately tracked.
  • Manage household cash flow processes, monthly transfers, and financial documentation.
  • Reconcile personal financial activity in QuickBooks, including credit cards, bank accounts, and digital payment platforms to support monthly reporting.
  • Manage subscriptions, digital accounts, password management, retail purchasing programs, invoices, deposits, and payment requests.

 

Property & Lifestyle Management

  • Coordinate mail handling, deliveries, forwarding, and movement of items between multiple residences.
  • Liaise with property managers to ensure homes are fully prepared and operating efficiently.
  • Provide direct support to the principal’s spouse on selected household and personal matters.
  • Handle personal research projects, sourcing, errands, and a wide variety of ad hoc requests.
  • Schedule and coordinate all medical appointments, insurance verification, physical therapy, and specialist care for the principal.
     

Qualifications: 

  • Minimum of five years' experience supporting an ultra-high-net-worth principal, family office executive, founder, or C-suite leader.
  • Previous experience supporting private equity executives or within a family office environment is highly desirable.
  • Extensive experience managing complex international travel, including private aviation, remote destinations, and intricate itineraries.
  • Advanced proficiency with Microsoft Outlook, Google Workspace, QuickBooks, 1Password, and modern cloud-based collaboration tools.
  • Comfortable learning and implementing new technologies and systems.
  • Bachelor's degree preferred.
  • Notary Public certification is advantageous.
  • Familiarity with hunting, outdoor recreation, or sporting logistics would be beneficial but is not essential.
