About the Opportunity

Our client is a highly successful international technology organisation seeking an experienced Executive Assistant to provide comprehensive support to its Chief Executive Officer.

This is a pivotal role for an exceptionally organised, proactive and discreet professional who thrives in a fast-paced executive environment. Acting as a trusted right hand to the CEO, you will oversee a broad range of business and personal responsibilities while ensuring the smooth day-to-day operation of the Executive Office.

Working closely with senior leadership, board members, external advisers and key stakeholders, you will play an integral role in coordinating strategic initiatives, managing priorities and enabling the CEO to operate effectively across a global organisation.

Key Responsibilities

  • Provide seamless administrative and executive support to the CEO across business and personal matters.
  • Manage a complex and constantly evolving diary, coordinating meetings, appointments and commitments.
  • Organise domestic and international travel, including flights, accommodation, ground transportation and detailed itineraries.
  • Prepare, proofread and manage professional correspondence, presentations, reports and other business documentation.
  • Act as a key point of contact between the CEO and internal and external stakeholders, maintaining the highest levels of professionalism and confidentiality.
  • Welcome visitors and coordinate executive meetings and events.
  • Assist with the planning and delivery of board meetings, leadership off-sites, company events and other executive-level gatherings.
  • Coordinate a variety of cross-functional projects, ensuring deadlines and actions are effectively managed.
  • Handle incoming correspondence, document management and general office administration.
  • Maintain accurate records, expense tracking and supporting documentation for finance, tax and compliance purposes.
  • Provide support with selected personal administration, appointments and errands as required.
  • Assist with the coordination of matters relating to the CEO's private residence when necessary.
  • Provide cover for another Executive/Personal Assistant during periods of absence.

Candidate Profile

The successful candidate will bring significant experience supporting a CEO, founder or senior executive within an international organisation.

You will demonstrate:

  • Fluency in both English and German, with excellent written and verbal communication skills.
  • Extensive experience in a senior Executive Assistant or Personal Assistant position.
  • The confidence to interact professionally with board members, senior executives, investors, legal advisers, financial institutions and other external stakeholders.
  • Outstanding organisational and multitasking abilities with exceptional attention to detail.
  • The ability to anticipate needs, solve problems proactively and manage competing priorities.
  • Absolute discretion and experience handling confidential commercial and personal information.
  • Strong administrative, planning and project coordination skills.
  • Advanced proficiency with Microsoft Office, particularly Outlook, Word, Excel and PowerPoint.
  • A full, valid driving licence.
  • A flexible approach and willingness to provide in-person support as required.
