Our client, a prestigious Investment firm with beautiful offices in the heart of Mayfair, is looking for an organised and proactive Team PA to support their leadership team and wider business with meeting coordination, senior-level event logistics, and general administrative operations. You'll work closely with a senior team member on recurring meetings and deal tracking, while collaborating with fellow assistants on broader office and diary support.

 

This is a fantastic opportunity for someone who is looking to grow their PA career, has a strong work ethic, desire to learn and enjoys a client facing role.  

 

Experience working within financial or professional services in PA or admin support role is desired.

What You'll Do:

 

  • Prepare and distribute materials for the team's weekly meeting, both digitally and in hard copy
  • Book meeting rooms and set up video conferencing for weekly and senior-level meetings
  • Liaise with external guest speakers to arrange their attendance logistics
  • Organise the team's weekly lunch
  • Print meeting packs and organise catering as needed
  • Track the progress of ongoing business opportunities, from initial agreements through to calls and site visits, using calendar scheduling
  • Confirm meeting attendance and maintain accurate records in the CRM system
  • Support event logistics, including monitoring RSVPs and attending events where required
  • Arrange travel and process expense claims
  • Review calendars to flag conflicts and coordinate travel logistics for site visits
  • Provide holiday and absence cover for fellow assistants

 

What You'll Need:

 

  • Proven experience in a Team Assistant or Administrative role within financial or professional services is desired
  • Excellent organisational skills and attention to detail
  • Confident communicator, comfortable liaising with external contacts and senior stakeholders
  • Willingness to learn
  • Ability to manage competing priorities under pressure
  • Team-oriented, flexible approach to covering colleagues' responsibilities
  • Discretion with sensitive business information
