$130,000–$180,000 + Generous Bonus + Benefits
A highly successful, high-growth fintech startup is seeking an exceptional Executive Assistant & Office Manager to support its senior leadership alongside taking ownership of the day-to-day running of its New York City office.
This is a high-visibility, high-trust position at the heart of a fast-moving and ambitious business. The successful candidate will combine first-class executive support skills with a genuine ownership mentality, ensuring both the leadership team and wider office operate seamlessly.
We are looking for someone who is exceptionally organized, proactive, resourceful, and naturally service-oriented. You will anticipate what needs to happen before being asked, solve problems from start to finish, and take pride in creating an office environment that is polished, efficient, and somewhere people genuinely enjoy working.
This is not a traditional 9-to-5 support role. The business operates at startup pace, and the successful candidate will be comfortable with changing priorities, occasional longer hours, and a role where very little falls outside their remit.
The Role
Working closely with the leadership team, you will provide high-level administrative support while owning the operational experience of the NYC office.
Executive Support

Provide seamless administrative support to senior leadership, including complex scheduling, travel arrangements, and expense management

Anticipate priorities and ensure executives are prepared for meetings, travel, and key commitments

Handle highly confidential and commercially sensitive information with absolute discretion

Coordinate meetings and events from start to finish, including rooms, catering, A/V, agendas, guest access, and supporting materials

Take ownership of ad hoc projects and operational priorities as the company continues to scale
Office Management & Operations

Take full ownership of the day-to-day running and presentation of the NYC office

Maintain an exceptionally high standard across the workplace, ensuring it is always organized, well-stocked, welcoming, and guest-ready

Manage office supplies, equipment, technology, and inventory proactively

Act as the primary point of contact for building management, facilities, maintenance, and other office-related requirements

Manage meeting rooms, office calendars, hot desks, and space planning

Oversee mail, couriers, deliveries, filing, and general office administration

Own and track the office budget, providing clear monthly reporting to Finance
Vendors & Suppliers

Source, negotiate, and manage relationships with vendors across areas including technology, furniture, catering, cleaning, security, and facilities

Review contracts, monitor renewal dates, manage costs, and identify opportunities to improve service or value

Process invoices and expenses in partnership with Finance

Build a strong network of trusted NYC suppliers capable of supporting a rapidly growing organization
Team Experience & Culture

Create a first-class experience for employees, candidates, clients, and visitors

Own the operational side of employee onboarding, including IT equipment, desk setup, office access, and welcome materials

Plan and execute team lunches, company events, quarterly offsites, holiday celebrations, and other social initiatives

Help build and maintain a thoughtful, inclusive office culture

Bring energy, warmth, and attention to detail to the employee experience
About You
You will ideally have 2+ years of experience supporting a founder, CEO, or senior executive within a high-growth startup, fintech, technology, AI, crypto, or similarly fast-paced entrepreneurial environment.

Strong executive support capabilities combined with hands-on office or operational experience

Experience managing vendors, suppliers, contracts, and budgets

Excellent judgment and absolute discretion when dealing with sensitive information

An exceptionally high bar for quality and attention to detail

Resourcefulness and the ability to find solutions quickly without requiring significant direction

Strong knowledge of New York City and confidence navigating Manhattan's vendor and supplier landscape
