Executive Assistant – Equities
Job Description
An established Hedge Fund is looking for an experienced and highly polished Executive Assistant to join its Zurich office and provide dedicated support to a senior Equities team.
This is a high-visibility, hands-on position suited to someone who enjoys working in a fast-paced investment environment and is confident operating at senior level. You will work closely with Portfolio Managers and investment professionals, taking ownership of complex day-to-day coordination while acting as a trusted point of contact for internal and external stakeholders.
The successful candidate will also provide occasional support to the wider Zurich office, helping to ensure that day-to-day operations run smoothly.
Key Responsibilities
- Serve as a professional and trusted first point of contact for senior stakeholders, colleagues, clients, brokers and visitors.
- Manage complex and constantly evolving calendars, proactively identifying and resolving scheduling conflicts.
- Coordinate internal and external meetings, including preparation of agendas, materials, logistics and follow-up actions.
- Maintain accurate records relating to corporate access, broker interactions and other investment-related activities.
- Organise complex domestic and international travel, preparing detailed itineraries and managing changes at short notice.
- Prepare, process and reconcile expenses accurately and within required deadlines.
- Coordinate visitors, meetings and hospitality, ensuring a seamless and professional experience.
- Provide additional administrative and operational support to the Zurich office when required.
- Anticipate the needs of the Equities team and proactively take ownership of tasks from start to finish.
- Handle sensitive and confidential information with a high level of discretion and professionalism.
About You
We are looking for an experienced Executive Assistant who is highly organised, commercially aware and comfortable supporting senior professionals in a demanding environment.
Ideally, you will have:
- 7+ years of Executive Assistant experience, preferably supporting senior executives, Portfolio Managers, investment professionals or other senior stakeholders.
- Previous experience within financial services, asset management, investment banking, hedge funds or another high-performance professional environment.
- Proven experience managing complex diaries, international travel and multiple competing priorities.
- Strong stakeholder management skills and the ability to build trusted relationships across internal and external networks.
- Excellent written and verbal communication skills, with a polished and professional approach.
- A proactive mindset, strong judgement and the ability to anticipate requirements rather than simply react to them.
- Exceptional organisation and attention to detail, particularly when priorities shift at short notice.
- A discreet and trustworthy approach to handling confidential and sensitive information.
- The ability to work independently while also contributing effectively within a close-knit team.
- Strong Microsoft Office skills, particularly Outlook, Word, PowerPoint and Excel, alongside confidence using modern workplace and productivity tools, including AI-enabled tools where appropriate.
