Family Office Finance & Operations Assistant

Hybrid with West London office 3 days per week

Fixed Term Contract – 1 year

Overview

We have an excellent opportunity for a highly organised and detail-oriented Family Office Finance & Operations Assistant to support the smooth running of a busy HNW Family Office.

Reporting to the Finance Manager, this is a varied support role requiring someone who is numerically strong, proactive, adaptable, and comfortable switching between Finance and Operations tasks.

Key Responsibilities

  • Record and reconcile global bank transactions across multiple bank accounts and credit cards using Xero.
  • Monitor bank balances and prepare weekly cash reports.
  • Retrieve and upload financial data and produce monthly, quarterly, and YTD Global P&Ls for review.
  • Issue invoices, process reimbursements, organise weekly payment runs, and draft and execute payments as instructed.
  • Submit company card receipts through Brex and maintain accurate payment records, handling highly sensitive information with discretion.
  • Assist with tracking investments across different platforms.
  • Execute stock trades upon instruction and maintain accurate reporting across accounts, including highlighting realised profits following sales.
  • Assist with forms, questionnaires, health insurance claims, and other administrative requirements.
  • Track suppliers and contracts and maintain an organised Property Registry.
  • Maintain the Family Office Google Drive and ensure documents are filed correctly.
  • Provide general ad hoc support to the Finance Manager and Project & Operations Manager as required.

Profile

  • Previous experience working within a Family Office or supporting HNWIs Family Office is essential.
  • Strong numerical skills, financial acumen, and exceptional attention to detail.
  • Proficient in Excel and ideally experienced with Xero.
  • Tech and IT savvy, with the ability to troubleshoot and investigate basic IT issues with familiarity with MacOS and Gmail.
  • Spanish language skills is a significant advantage.
  • Able to work under pressure, meet deadlines, and prioritise effectively.
  • Strong understanding of the requirements and challenges of working within a Family Office.
