Job Description
A fantastic opportunity has arisen for a dynamic, switched-on and highly accomplished Private PA. You will work in partnership with an experienced, long-standing PA, forming a team of two and providing comprehensive support across all aspects of the family’s private life.
The role requires flexibility around working location, with time divided between the Principal’s company office, main residence and remote working, depending on where support is required. Typical working hours are 8am–7pm; however, the successful candidate will need to remain contactable outside of these hours when necessary.
Key responsibilities:
- Overseeing household staff across multiple residences, including recruitment both directly and via agencies, interviewing, payroll administration, performance reviews and, where necessary, terminations
- Managing and negotiating contracts with external suppliers across areas such as private aviation, insurance and property maintenance
- Acting as a key point of contact for professional advisers, including property developers, contractors, accountants and lawyers
- Managing complex diaries and coordinating travel arrangements for the entire family
- Processing and tracking invoices and payments, ensuring accurate records are maintained
- Arranging appointments across all areas of family life, including medical appointments, restaurants and entertainment, using both an established supplier network and independent research
- Overseeing family gifting throughout the year, including birthdays, holidays and other celebrations, maintaining gift lists and tracking orders, deliveries and returns
- Supporting significant personal purchases, including artwork and property
- Ensuring all associated documentation and records are meticulously organised and maintained
- Carrying out detailed research and managing a variety of ad hoc projects
- Travelling occasionally as required
Ideal candidate:
- Approximately 8–12 years’ experience in a comparable Private PA/Family PA role, with excellent references
- Dynamic, switched-on, proactive and quick-thinking, with the ability to operate at pace and anticipate requirements
- Exceptional attention to detail, with the ability to juggle immediate requests alongside multiple longer-term projects
- Outstanding written and verbal communication skills
- Highly discreet and professional, with strong personal judgement
- Exceptionally tech-savvy and confident operating modern digital tools and systems
- Naturally embraces new technology and looks for ways to work smarter and more efficiently
- Understands how and when to use AI tools to support research and problem-solving, while recognising their limitations and applying rigorous personal judgement
- Flexible and comfortable working across the Principal’s office, private residence and remotely, with occasional travel as required
