My client is an established, globally recognised investment management firm with stunning offices in the City of London, within walking distance from main stations such as Liverpool Street, Fenchurch Street, Cannon Street and Bank.
They are seeking a highly professional, proactive, and detail-oriented Administrative Assistant to join the team in London, supporting the Office of the Vice Chairman.
Reporting to the Vice Chairman's Chief of Staff, this role will work closely with the Lead Administrative Business Partner to provide high-quality administrative support across the Office of the Vice Chairman.
WHAT YOU’LL DO;
- Managing and coordinating a complex and dynamic calendar, helping to prioritise meetings and ensure effective time management across multiple stakeholders.
- Coordinating end-to-end logistics for meetings and engagements, including scheduling, travel arrangements, meeting materials, and expense management.
- Supporting the preparation of materials and logistics for internal and external meetings, events, and speaking engagements involving clients, government officials, senior internal stakeholders, and firm leadership.
- Partnering across the firm to ensure effective stakeholder coordination and seamless execution of priorities.
- Supporting the preparation of senior leadership meetings and associated materials, including presentations, briefing documents, and meeting packs.
- Providing reliable administrative coverage and support during periods when the Lead Administrative Business Partner is unavailable.
- Managing internal and external communications with professionalism, discretion, and sound judgement.
WHO YOU ARE;
- 5+ years of administrative support experience, ideally within a large global organisation and preferably within financial services.
- Strong written and verbal communication skills in English. German language skills would be beneficial but are not essential.
- Experience interacting with senior internal and external stakeholders with professionalism, discretion, and excellent judgement.
- Outstanding organisational skills, with the ability to manage multiple priorities and competing demands.
- Exceptional attention to detail and a proactive, solutions-focused mindset.
- Resilience, adaptability, and the ability to bring structure and organisation to complex and evolving situations.
- A collaborative approach and the ability to work effectively across teams, functions, and geographies
