Executive Personal Assistant – UHNW Private Family

Location: Greenwich, Connecticut
Salary: $180,000 - $280,000
Schedule: Full-time | Flexibility required outside standard business hours

We are seeking an exceptional Executive Personal Assistant to support a prominent UHNW family based in Greenwich, Connecticut. Working primarily with the female Principal, while also providing executive and personal support to her husband, this is a highly involved position requiring outstanding organizational skills, emotional intelligence, discretion, and the ability to operate seamlessly within a fast-paced private environment.

The family has recently relocated internationally and is establishing its life in Connecticut. The successful candidate will play a key role in bringing structure, efficiency, and organization to the family's personal and domestic affairs, overseeing complex schedules, international travel, household operations, and a variety of ongoing projects.

The female Principal is energetic, outgoing, and highly engaged in her personal, family, and entrepreneurial interests. She is seeking a proactive, thoughtful, and resourceful individual who can anticipate requirements, present considered solutions, and confidently manage competing priorities with minimal direction.

Key Responsibilities

Executive & Personal Support

  • Provide comprehensive personal and executive assistance to the female Principal, alongside additional calendar and administrative support to the male Principal.

  • Manage highly complex and frequently changing calendars across multiple time zones using Google Workspace.

  • Coordinate personal and family appointments, social engagements, reservations, and day-to-day commitments.

  • Anticipate needs, identify potential challenges, and proactively present thoughtful solutions and recommendations.

  • Manage personal correspondence, sensitive information, and confidential family matters with absolute discretion.

  • Liaise with the Principals' wider professional support network to ensure seamless coordination between personal and business commitments.

Household & Lifestyle Management

  • Oversee day-to-day household requirements, ensuring the smooth running of the family's residences and personal affairs.

  • Coordinate household staff, including housekeepers, tutors, cooks, and other domestic service providers.

  • Establish and maintain effective household systems, including staff schedules, wardrobe management, gifting, household inventories, and important personal records.

  • Manage personal errands, purchases, appointments, and lifestyle requirements, taking a proactive and hands-on approach.

  • Coordinate with external vendors, contractors, and service providers, ensuring consistently high standards of service.

  • Implement practical systems and processes to improve organization, communication, and efficiency across the family's household operations.

Travel, Events & Special Projects

  • Plan and execute complex domestic and international travel for the Principals and their family, including flights, visas, accommodations, ground transportation, and detailed itineraries.

  • Manage last-minute travel changes and evolving requirements with confidence and efficiency.

  • Organize private events, family celebrations, social engagements, and entertaining, overseeing all aspects of planning and execution.

  • Coordinate residential projects and property improvements across multiple locations, liaising with designers, contractors, and vendors while monitoring timelines, progress, and potential issues.

  • Support selected personal, entrepreneurial, and philanthropic projects as required.

Systems, Technology & Organization

  • Develop and maintain effective organizational systems across the family's residences, schedules, and personal affairs.

  • Utilize Google Workspace, CRM platforms, expense management systems, and other digital tools to streamline operations.

  • Proactively identify opportunities to introduce AI and emerging technologies to improve productivity and efficiency.

  • Ensure information, records, and ongoing tasks are accurately maintained and easily accessible to the appropriate members of the family's support team.

Candidate Requirements

  • Minimum of 8 years' experience as a Personal Assistant or Executive Personal Assistant supporting UHNW individuals, private families, entrepreneurs, or senior executives, with significant exposure to private household operations.

  • Experience spanning both corporate and private household environments is highly desirable.

  • Exceptional organizational and time management skills, with the ability to bring structure to complex, fast-moving environments.

  • Highly proactive, intuitive, and capable of anticipating needs while operating independently with minimal supervision.

  • Strong emotional intelligence, excellent interpersonal skills, and the confidence to establish a productive working relationship with dynamic and demanding Principals.

  • A calm, adaptable, and solutions-focused approach, with the ability to manage ambiguity and frequently changing priorities.

  • Excellent judgment, with the ability to present well-considered options and recommendations while remaining flexible and objective.

  • Proven experience managing complex international travel, private events, household operations, and projects from inception through completion.

  • Advanced proficiency in Google Workspace, CRM platforms, and digital productivity tools, with a genuine interest in leveraging AI and emerging technologies.

  • A naturally service-oriented mindset, exceptional attention to detail, and a willingness to take ownership of tasks at every level.

  • Absolute integrity, discretion, and confidentiality, with a strong understanding of the expectations of working within a UHNW private household.

  • A culturally adaptable, globally minded individual who is comfortable operating across international environments.

  • Bachelor's degree preferred.

  • Spanish language proficiency would be advantageous.

  • Must be based within convenient commuting distance of Greenwich, Connecticut, ideally within approximately 20 minutes, and comfortable working across private residences and office environments.

  • Flexibility to accommodate occasional travel and evening or weekend requirements, with a high level of responsiveness when needed.
