Job Description

Office Manager & Executive Assistant to the COO | £50,000 - £55,000 | Permanent | City of London | 5 days office based

An established financial organisation is looking for an organised, people-focused professional to run its London office and provide light-touch EA support to the COO. You’ll keep a senior leader’s working day on track, look after supplier paperwork and billing, and manage a small front-desk team to make sure the office is a smooth, welcoming place for staff and clients. The ideal candidate will have solid office management experience alongside some experience managing diaries. The working environment is fast-paced, dynamic, and things can change at a moment's notice. As a result, we need someone that is confident and a real team player.

What you’ll do:

  • Manage the day-to-day running of the London premises
  • Lead the front-desk team and keep client areas looking professional
  • Plan seating and use of space, working with IT and facilities on desk moves and storage
  • Make sure trained first-aid and fire safety volunteers are in place and known to staff
  • Hold regular check-ins and appraisals, set objectives and support your team’s development
  • Approve leave, monitor attendance and involve HR when needed
  • Organise the COO’s schedule, screen their calls and pass on clear messages
  • Write up and share meeting notes promptly
  • Arrange business travel and itineraries, and process expense claims
  • Keep track of supplier agreements and make sure invoices are coded and paid correctly
  • Set up technology and email access for people joining or leaving the business

What you’ll need:

  • A strong track record as an office manager with some light touch experience supporting senior leadership
  • Invoicing experience - ideally using Concur or similar
  • Expert-level Outlook, Excel, Word and PowerPoint skills
  • Precision in your work and excellent organisational skills
  • The ability to balance executive priorities with the needs of a busy office
  • Awareness of working in a regulated environment and the judgement to flag issues early
  • Experience handling supplier contracts or invoices
  • A trustworthy, approachable and proactive manner

Benefits:

  • Discretionary bonus scheme
  • Generous annual leave allowance
  • Enhanced pension contributions
  • Season ticket Loan
  • Private Medical Insurance
  • Income protection
