Job Description

Office Administrator | £35,000 | Permanent | City of London | 5 days office base

A well-established financial firm is seeking an organised and reliable administrator to strengthen the team behind its London workplace. Reporting to the Office Manager, you’ll be a key part of keeping the office ticking over, whether that’s settling supplier bills, sorting out expense claims, getting new colleagues set up or arranging the occasional team get-together. This role would suit someone with a background in office support or front-desk work who is comfortable across the Microsoft 365 suite and naturally careful about getting the details right.

What you’ll do:

  • Support the Office Manager across a broad mix of day-to-day tasks, adapting as the workload changes
  • Check, code and pay supplier bills promptly and correctly
  • Help maintain clear, organised records of supplier agreements
  • Match receipts to expense claims and company card spending, and submit them for approval
  • Make sure new colleagues are ready to start on day one, and tie up loose ends when people move on
  • Arrange social occasions and get-togethers for the team
  • Monitor stationery, kitchen and other everyday supplies and reorder in good time
  • Act as a friendly link between technology, building services, the front desk and teams throughout the office
  • Build up a good picture of how the business fits together and who does what
  • Stay on top of any required learning modules

What you’ll need:

  • Experience in an office support, admin or front-desk position
  • Confidence using Outlook, Excel, Word and PowerPoint
  • A careful eye and the habit of getting things right first time
  • The ability to juggle a varied to-do list and stay organised
  • An understanding of working within a regulated sector, and the sense to speak up when something doesn’t look right
  • Some experience handling bills or expense claims would be useful
  • A warm, easy-going manner with colleagues at every level
  • A self-motivated attitude, openness to new ways of working and pride in following tasks through

Benefits:

  • Discretionary bonus scheme
  • Generous annual leave allowance
  • Enhanced pension contributions
  • Season ticket Loan
  • Private Medical Insurance
  • Income protection
