Receptionist/Office Coordinator
Job Description
Receptionist/Office Coordinator
£32,000 - £35,000
City of London
A prestigious City-based Investment Bank is looking for a personable, confident and highly professional individual to join their team as a Receptionist. This is an excellent opportunity for someone with a natural aptitude for client service who enjoys working with people and is looking to establish themselves in a people-centric environment. The successful candidate will have the confidence, presence and interpersonal skills to represent the firm to the highest standard, acting as the first and last point of contact for clients, investors, candidates and visitors. More than previous reception experience, we are looking for someone with a proactive, service-driven approach, strong communication skills and the ability to build rapport with people at all levels.
This is a standalone position, so the ability to work autonomously, take ownership and use initiative is essential. The successful individual will be comfortable managing the front-of-house function independently, anticipating requirements and ensuring the office runs smoothly, while knowing when to exercise judgement and escalate matters where appropriate.
Working closely with the Operations and Investor Relations teams, you will coordinate client meetings, oversee front-of-house operations and provide wider administrative and office support as required. The role will suit someone who is adaptable, quick to learn and confident in taking on additional responsibilities as they develop their understanding of the business. Hours 8am – 5pm with flexibility.
What you’ll do:
- Deliver a first-class front-of-house service, welcoming clients, investors, visitors and colleagues.
- Manage visitor arrivals, sign-in procedures and ensure a seamless experience for all guests and team members.
- Manage incoming calls, correspondence and the reception inbox, ensuring enquiries are handled professionally and efficiently.
- Oversee incoming and outgoing post, couriers and deliveries.
- Coordinate meeting room bookings and preparations, working closely with Investor Relations to facilitate client and investor meetings.
- Arrange refreshments, catering and any additional meeting requirements.
- Support the smooth day-to-day running of the office, including ordering supplies and liaising with facilities providers and building management.
- Maintain a positive, friendly and engaging working environment daily.
- Provide general administrative support to the wider business and proactively assist with any ad hoc office requirements.
What you’ll need:
- Previous experience in a client-facing environment, ideally within a customer service or professional setting.
- A confident communicator with excellent interpersonal skills.
- Natural ability to engage professionally with senior stakeholders, clients and investors.
- A proactive self-starter who takes initiative and is comfortable working independently.
- Highly organised, with excellent attention to detail and a confident ability to manage competing priorities.
- Someone who remains calm under pressure during busier and demanding periods.
- Proficient in MS Office, including Outlook
This is a fantastic opportunity which allows for great exposure and the chance to work amongst a fabulous team. If you are interested, please get in touch and apply!
