Job Title: Executive Assistant to Managing Director & Founder
Job Summary: We are seeking a highly professional and proactive Executive Assistant to support the Managing Director and Founder of our financial trading firm. The role requires a strong, confident individual with excellent organizational and communication skills, who is comfortable in high-stakes environments. The EA will serve as a trusted partner, attending critical meetings, taking minutes, preparing presentation decks, and supporting strategic initiatives. The ideal candidate will focus on facilitating the MD’s business goals, managing day-to-day priorities, and ensuring smooth project committee operations.
Key Responsibilities:
- Meeting Support and Documentation
- Attend meetings with the Managing Director, ensuring thorough preparation and detailed note-taking.
- Document minutes, track actionable items, and follow up on deadlines to support the successful execution of projects and initiatives.
- Attend project committee meetings and provide administrative support to ensure decisions are well-documented and communicated effectively.
- Strategic and Business-Focused Support
- Actively engage in business-related discussions, assisting the MD in identifying priorities and aligning activities with company objectives.
- Serve as a sounding board and strategic partner for the MD, offering insights and input where appropriate.
- Maintain a strong understanding of key business goals, providing relevant data and updates to support decision-making.
- Presentation and Communication Preparation
- Develop and refine high-quality presentation decks for executive meetings, project committees, and client pitches, ensuring clarity and professionalism.
- Prepare and edit reports, summaries, and briefing documents to streamline the MD’s preparation for internal and external engagements.
- Calendar and Travel Management
- Manage the MD’s complex calendar, including scheduling, organizing travel arrangements, and handling last-minute changes.
- Coordinate travel logistics for the MD, ensuring cost-effectiveness and smooth arrangements.
- Stakeholder Engagement
- Serve as the primary point of contact for the MD, liaising with clients, internal teams, and key stakeholders to facilitate efficient communication.
- Build and maintain professional relationships, representing the MD and company with discretion and poise.
- Project Coordination
- Support the MD in various ongoing projects, ensuring deadlines are met and tasks are executed efficiently.
- Assist in monitoring project timelines and deliverables, coordinating resources as needed to ensure the MD’s focus on high-priority initiatives.
