Hybrid – 3 days in the office, 2 from home
Real Estate company is looking for a Team Assistant to support their Managing Director. They are a London based interdisciplinary real estate development studio that creates disruptive hospitality brands across the UK and Europe
The successful candidate will work remotely for two days per week, with the other three days in their city office.
Hours are 9:30 – 5:30
What You’ll Do
- Reporting into Managing Director until the Executive Assistant is back from Maternity leave
- Heavy diary management for MD
- Ad-hoc meetings to arrange for other team members
- Organise all team meetings/ staff events – quarterly safari (day trip), annual offsite and Christmas lunch/ party
- Book all travel for the team on company card
- Expenses for MD and Acquisitions Director
- Uploading all invoices to Accounting software – FreeAgent and matching up with bank transactions
- Liaising with HR advisors – Loch HR for consulting agreements/ employment contracts/ company policies
- Liaising with IT –for laptops for new starters, setting up email accounts, any IT or software issues
- Liaising with the team for any office related matters, key cards, memberships for new starters
- Personal support for MD – ad hoc – online banking, purchasing gifts, car admin, personal meetings & some travel
Who you are
- Excellent Outlook skills a necessity with a proactive attitude when managing diaries and logistics
- Able to manage competing time-sensitive priorities and tasks.
- Demonstrates dependability and high attention to detail along with the ability to multi-task.
- Displays a consistent, professional degree of communication skills in person, on phone, via
Zoom and by email at various levels.
- Comfortable working with people at all organizational levels, internally and externally
- Must be a team player and work well under pressure within a changing environment.
- Flexible and adaptable to work and support across multiple teams.
- Be resourceful and able to use own initiative in solving issues.
- Discretion to deal with confidential business matters.
- Friendly, polite, and approachable with a “can do” attitude.
