Job Description

Salary: 25,000 - 35,000 AED per month

*Must have DIFC and Financial Services experience*

We are looking for an Office Manager / Administrative Assistant for our office in Dubai. Ideally, the candidate will have already worked within the asset management industry and is comfortable liaising with offshore offices in a global firm.

 

They will need to be organised, pro-active and detail-oriented. Multi-tasking is crucial as they will need to manage the day-to-day operations of the office whilst handling a wide range of responsibilities across various areas of the business.

 

Duties

  • Travel and visa management – responsible for all travel arrangements and logistics, ensuring roadshows and client visits run smoothly
  • Diary management – assist with scheduling meetings and preparation of materials
  • Client services – assist with responding to client requests and meeting follow ups  
  • CRM maintenance – updating contacts, meeting notes, opportunities and distribution lists in DealCloud
  • Compliance – work closely with the outsourced compliance provider to ensure that all reports, regulatory filings and key deliverables are met
  • AML/KYC – support the KYC and onboarding process for clients
  • Company secretarial – assist in arranging board meetings, board packs and corporate filings with the DIFC
  • Office management – responsible for day-to-day operations, office contracts, insurance policies and supplier relationships
  • Responsible for DIFC portal submissions e.g. UAE visa applications/renewals, office lease, NOC requests, car parking access
  • Finance – assist the finance and tax teams on filings and the external audit
  • Expense management and invoice reconciliation

 

 

Education and experience

  • 5 years of relevant work experience in a similar role, preferably for a global asset management group or within financial services
  • Tertiary education desirable
  • Computer literacy, specifically MS Office
  • Excellent spoken and written English skills
