Job Description

This role involves a diverse range of HR and Office Manager responsibilities, ensuring smooth operations within the HR function.

Key duties include:

  • HRIS Data Management: Accurately input and update employee information in the HR Information System (HRIS), ensuring records are maintained and up to date.
  • CV Review: Screen and assess candidate CVs to determine suitability for available roles.
  • Job Postings & ATS Management: Upload job vacancies to Ashby (Applicant Tracking System), ensuring all details are accurate and postings are managed efficiently.
  • Visa & Immigration Management: Oversee and monitor the visa application and renewal process in coordination with Meydan and ME, ensuring compliance with local regulations.
  • Document Expiry Monitoring: Track and manage the expiration of employee visas, Emirates IDs, and other important documents, ensuring timely renewals.
  • Employee Benefits & HRIS Updates: Update employee beneficiary details in the HRIS system and manage benefits enrollment for new and existing employees.
  • Personnel File Management: Maintain organized and secure personnel files, ensuring all employee documentation is properly saved and archived.
  • Administrative Support: Handle printing, scanning, and other general administrative tasks as required.
  • Event Organization Support: Assist the Office Management team in planning and organizing company events and celebrations.
  • Reception Coverage: Provide temporary coverage for the reception area when needed, particularly during staff absences.
  • Corporate Administration Support: Assist with corporate administrative tasks during peak periods, depending on workload and business needs.
  • Presentation Design: Format and enhance PowerPoint presentations to ensure a professional and visually appealing layout.
  • Employee Correspondence: Prepare and issue official reference and bank letters for employees as required.
  • HR Research: Conduct research on HR trends, best practices, and policies to support strategic HR initiatives.
  • Executive Diary Management: Manage the calendar and scheduling for senior HR personnel, ensuring meetings and commitments are efficiently organized.
  • Performance Management & Mentoring Program Support: Send reminders, follow up on action items, and ensure key deadlines are met for these HR programs.
  • HR Policy & Procedure Review: Assist in reviewing and updating HR policies and procedures to align with best practices and compliance requirements.
  • Office Expansion Research: Conduct research on potential office locations in the Balkans, gathering relevant data and insights.
  • Onboarding Support: Assist in the onboarding process for new hires, ensuring a smooth transition into the organization.
  • Recruitment Coordination: Support the recruitment process by scheduling interviews, liaising with candidates, and coordinating recruitment logistics.
  • HR Invoices & Financial Coordination: Work closely with the finance team to process and track HR-related invoices, ensuring accuracy and timely payments.
  • HR Compliance & Audit Support: Assist in ensuring HR policies and processes meet compliance standards and support audit preparations.
  • Employee Training & Development: Conduct research on training programs, gather feedback, and assist in implementing learning and development initiatives.
  • Meeting & Logistics Coordination: Manage logistics for HR and employee meetings, including booking rooms, organizing catering, and preparing materials.
  • HR-Related Travel Arrangements: Handle travel logistics for HR-related trips, including booking flights, accommodations, and transportation.
