PA to C-Suite - temporary

£28-£30/hour
I am recruiting for a top EA to support the CEO, as well as CFO and Partners of a boutique asset management firm, who are based in Mayfair but with global offices.
They are looking for a superstar EA who can join them for the next 3 months, with a likelihood to be extended. They are looking for someone to start next week - mid-February.
They need someone who has an incredible attention to detail, confident booking multi-stop international trips with full itineraries and is able to work proactively with discretion. They're a multi-cultural company, so need someone with excellent communication skills.
They offer hybrid working (4 days in office), hours are 9am-5.30pm and rate is £28-£30/hour, depending on experience. They're also a small team in London and need assistance with overseeing an office relocation.
What you’ll do:
The successful candidate will be a self-starter, with a several years’ experience in a PA/EA role. Key to success in the job will be a desire and capability to work in a complex, fast-moving business, allied to exceptional attention to detail.
- Actively support the CEO and Partners in their day-to-day activities with diary management and responsive provision of documents and reports. Manage the CEO’s diary to ensure that it is up to date at all times
- Email management and screen phone calls
- Ensure all enquiries received are directed in a timely manner
- Manage travel arrangements worldwide including preparation of itineraries. Organise efficient and cost-effective travel solutions to for staff globally to include flights, trains and accommodation
- Manage expense claims (Company uses SAP CONCUR).
- Prepare reports, meeting minutes and correspondence as required
- Event organisation e.g. internal meetings, dinners, etc.
- Devise and maintain office systems, including meeting room bookings
- Coordinate reports and other documentation for Partners
- Support the finance team by undertaking AP & AR tasks
Who you are:
- Minimum 5+ years' experience working in a similar EA role at C-Suite, ideally with international scope. Aviation industry experience is desirable, but not essential.
- High level of competence in travel management, booking complete itineraries in all regions.
- Highly proficient in the use of all MS Office family products, especially PowerPoint and MS Project
- Excellent interpersonal and communication skills both written and oral with a positive, problem-solving approach to daily tasks
- Possesses the ability to effectively communicate with individuals and groups across multiple geographies with cultural awareness and respect for others.
- Comfortable and proficient in organising own time effectively
- Must possess a high level of integrity, trustworthiness and tact with a proven ability to maintain confidentiality and exercise discretion
- Flexible within the role and willing to undertake other tasks as required
- A highly professional presence with excellent communication skills
