We are working with a prestigious international law firm with a strong presence in the region, who are currently hiring a HR Administration Assistant, regional experience for the role is desired and ideally a couple of years in a junior HR role.
Role Overview:
The HR Assistant will play a crucial role in supporting the HR team with day-to-day administrative tasks, ensuring smooth execution of HR processes, and maintaining accurate records. This role is ideal for a highly organized and detail-oriented professional who thrives in a fast-paced environment and enjoys working with people.
Key Responsibilities:
Recruitment & Onboarding Support
- Coordinate and schedule interviews between candidates, hiring managers, and external recruiters.
- Liaise with recruitment agencies and internal stakeholders to facilitate the hiring process.
- Assist in drafting and posting job descriptions on various platforms.
- Support the preparation of offer letters and employment contracts.
- Manage pre-employment screening and background checks.
- Assist with onboarding new hires, including collecting required documentation, setting up HR systems, and scheduling induction sessions.
HR Administration & Document Management
- Maintain and update employee records in the HR database, ensuring compliance with company policies and local labor laws.
- Handle employee documentation, including contracts, visas, work permits, and other HR-related paperwork.
- Assist in managing HR policies, ensuring employees have access to the latest updates.
- Prepare HR reports, track key metrics, and assist with audits as required.
- Support payroll processes by collating and verifying attendance, leave, and benefits-related information.
Other HR Support
- Assist with exit processes, including offboarding documentation.
- Maintain confidentiality in handling sensitive HR and employee information.
- Collaborate with the HR team on continuous improvement initiatives and HR projects.
Key Skills & Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 1-3 years of experience in an HR support or administrative role, preferably in a professional services or legal environment.
- Strong organizational and multitasking skills, with the ability to prioritize and meet deadlines.
- Excellent communication and interpersonal skills to interact with employees and stakeholders at all levels.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and HRIS systems.
- Familiarity with UAE labor laws and best HR practices is a plus.
- High level of discretion and professionalism in handling confidential information.
