Executive Personal Assistant (Travelling Role – Based in Dubai)

Location: Dubai, UAE (with frequent international travel)

Salary: 20,000 – 35,000 AED/month (depending on experience)

Start Date: Immediate Contract Type: Full-Time, Permanent

Accommodation: Available (50% rent contribution)

About the Role

  • An exceptional opportunity has arisen for a highly organised, intuitive, and seasoned Executive Personal Assistant to support an incredibly busy principal with global interests.
  • Based in Dubai, this role demands versatility, professionalism, and stamina, with regular travel to properties in the UK, France, Thailand, Abu Dhabi, and within Dubai.
  • This is not a typical 9–5 PA job. It is a dynamic, multifaceted role that requires someone who is calm under pressure, incredibly resourceful, and forward-thinking.
  • You’ll play a key role in both the personal and professional life of the principal, ensuring the smooth running of households, supporting business admin, coordinating schedules, and assisting with high-profile events.

 

Key Responsibilities

  •  Manage and coordinate complex and constantly evolving schedules, including that of the Chief Protection Officer (CPO), household members, and the principal.
  • Liaise with and support the management of approximately 17 staff across seven properties worldwide — including overseeing payroll, scheduling, and performance oversight.
  • Coordinate international and domestic travel arrangements, including visas, itineraries, transportation, and accommodations.
  • Assist with business and personal administrative duties — from correspondence and diary management to liaising with legal, medical, and financial contacts.
  • Organise and contribute creatively to large-scale events, private functions, and corporate gatherings, often requiring a high degree of discretion and flair.
  • Oversee household needs and logistics, ensuring all properties are consistently organised, well-maintained, and functioning smoothly.  
  • Collaborate with an in-place administrative PA to ensure all administrative demands are met efficiently.
  • Be highly flexible with working hours and location — including WFH when appropriate and on-site attendance from the principal’s home office.
  • Provide backup and support with IT, software tools, and emerging tech — being a key player in helping systems run efficiently.

 

Candidate Profile

 

  • We are looking for someone who is: - Experienced in a high-level PA, EA, or household coordination role (experience supporting UHNW individuals or complex households is a major plus).
  • Fluent in English with impeccable written and spoken communication; French is highly advantageous.
  • Extremely organised, with proven ability to multitask and manage shifting priorities under pressure.
  • Tech-savvy, with excellent proficiency in Microsoft Office and modern business tools; adaptable to new software quickly.
  • Creative, particularly in planning and supporting events and functions with a sense of flair and detail.
  • Calm, composed, and emotionally intelligent, able to read a room, anticipate needs, and resolve issues proactively.
  • Resilient and robust, someone who can work in a fast-paced, high-pressure environment and remain unflappable.
  • Discreet and trustworthy, capable of handling highly confidential matters with the utmost sensitivity.
  •  Seeking life experience to match the maturity and expectations of this role.
  •  Security conscious, with an understanding of discretion in both digital and physical environments; experience working alongside security or CPOs is advantageous.
  •  Willingness to be on-call outside standard hours, particularly during travel or when hosting events.
  •  Must hold a valid passport with the ability to travel freely and obtain visas as required for Europe, the UAE, and Asia.
  • Able to interact confidently and respectfully with a variety of stakeholders from different cultural backgrounds.
  • Strong problem-solving abilities, able to take initiative and make decisions independently when needed.
  • Looking for a candidate who is committed and invested in building a long-term working relationship.
  • A clean driving licence and confidence driving abroad would be a plus.

Working Hours

Flexibility required, but generally: - Working from Home: 9:00 AM – 11:00 AM - On-site (Principal’s home office): 11:00 AM – 6:00 PM - Additional hours may be required depending on travel or event schedules.
