A leading investment firm with its Swiss office located in Zug is seeking a highly skilled and experienced Office Manager / Executive Assistant to join its dynamic team.
This key role will provide comprehensive, high-level administrative support to senior executives, contributing to the smooth and efficient operation of the office.
WHAT YOU'LL DO
- Proactively manage executive calendars, schedule meetings, and coordinate complex travel arrangements, including preparation of itineraries and travel documentation
- Prepare meeting agendas, take minutes, and ensure all necessary materials and resources are available in advance
- Handle all incoming and outgoing communications—emails, calls, and correspondence—on behalf of the executive team
- Oversee day-to-day office operations, including supply procurement and equipment maintenance.
- Support the local team with the preparation and distribution of recurring reports and documentation
- Organize and schedule internal and external appointments, meetings, and conference calls
- Create high-quality presentations, reports, and briefing materials for executive-level meetings
- Coordinate logistics for internal and external events, from planning to execution
- Provide administrative support for executives on ad hoc tasks and special projects
- Perform other administrative duties as assigned by management
- Manage confidential and sensitive information with the utmost discretion, maintaining accurate and organized records
WHO YOU ARE
- A minimum of 4 years’ experience in a similar role as an Office or Executive Assistant
- Proven ability to manage multiple tasks, set priorities effectively, and adapt to the dynamic needs of executive leadership
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Exceptional written and verbal communication skills, with the ability to engage confidently across all levels of the organization
- Fluency in both German and English is essential
- High level of attention to detail with excellent problem-solving capabilities
- Demonstrated discretion, integrity, and professionalism in handling confidential information
- Bachelor’s degree in Business Administration or a related discipline is preferred
