Kuwait Operations Junior Specialist
Job Description
Our client is seeking a highly organized and service-oriented Junior Operations Specialist with proven experience in Tender Services and the RFP process. This role is critical to the smooth running of daily office operations and supporting administrative functions across departments, including front desk management, vendor coordination, internal logistics, and administrative support for tender submissions and visa processes. You will work closely with leadership, the HR team, and Tender Services to ensure operational excellence and compliance.
Key Responsibilities:
Office & Administrative Support

Manage front desk operations, greet visitors professionally, and handle all incoming calls and messages.

Prepare meeting rooms, coordinate meeting room requests, and arrange catering and visitor refreshments.

Handle mail distribution, incoming packages, and courier services.

Maintain stock control of office supplies, medical kits, and stationary.

Support in managing local SIM cards, WiFi routers, access cards, and petty cash.

Provide executive support and assist in organizing office events and projects.

Liaise with building management and vendors for general maintenance and service delivery.

Handle general office duties: printing, scanning, binding, filing, etc.

Provide administrative support for all RFP submissions.

Conduct lead searches through local portals and coordinate proposal documentation with the Proposal Senior Specialist.

Process RFP-related payments and handle document delivery/collection as needed.

Prepare and submit final bid packets and bid bonds; attend tender-specific meetings and trainings.
Visa & Licensing Support

Work closely with the HR and PRO teams to support immigration processes for work visas.

Track and manage office certifications and licenses, ensuring timely renewals and compliance.
Requirements:

Bachelor’s degree with 2–3 years of relevant experience, particularly in Tender Services/RFP processes.

Strong organizational and time management skills with the ability to multitask.

Excellent interpersonal and communication skills in both English and Arabic.

Proactive, self-motivated, and able to work both independently and collaboratively.

Sound judgment, high attention to detail, and commitment to confidentiality.

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
