Location - Dubai
Must reside in the UAE only
Salary 35,000- 47,000 AED per month depending on experience
We are seeking an Executive Assistant to the Chairman to play a crucial role in managing the daily corporate-related activities of the Chairman, ensuring that operations run smoothly and that the Chairman can focus on strategic decision-making. The Executive Assistant to the Chairman is responsible for providing high-level administrative support to the Chairman, managing corporate-related tasks efficiently, and ensuring that the Chairman's office operates seamlessly. This role serves as a critical point of contact and a facilitator of communication between the Chairman and other internal and external stakeholders.
Key Responsibilities
- Effectively manage the Chairman's calendar, scheduling meetings, appointments, and travel arrangements to maximize productivity.
- Ensure all schedule changes are communicated promptly and that the Chairman is prepared for upcoming engagements.
- Organize, attend and coordinate all meetings for the Chairman, ensuring all logistics, including venue arrangements and required materials, are in place.
- Prepare meeting agendas, take minutes, and follow up on action items promptly.
- Handle incoming correspondence, including emails, phone calls, and messages, screening them to prioritize urgent matters for the Chairman.
- Draft and edit communications on behalf of the Chairman, ensuring clarity and professionalism in all correspondence.
- Prepare and format reports, presentations, and other documents required for meetings, ensuring accuracy and adherence to company standards.
- Maintain organized files, records, and databases for easy retrieval of information.
- Assist the Chairman with various projects by coordinating necessary information, tracking progress, and ensuring that deadlines are met.
- Conduct research and compile relevant data for reports and decision-making processes.
- Arrange business travel itineraries for the Chairman, including transportation, accommodation, and meeting schedules for both domestic and international trips.
- Prepare travel briefings including itineraries, relevant contacts, and necessary documents.
- Maintain confidentiality regarding sensitive information related to the Chairman’s personal and professional matters.
- Represent the Chairman and the organization with professionalism in all interactions, upholding the company’s reputation.
Preferred Experience & Skills
- Proven experience as an executive assistant or in a similar administrative role, supporting high level executives or senior management.
- Exceptional organizational and time management skills.
- Strong verbal and written communication abilities.
- Proficiency in office software (e.g., Microsoft Office Suite) and calendar management tools.
- Excellent English, Arabic and possibly French
- High level of discretion, professionalism, and dependability.
- Ability to work under pressure and manage multiple priorities effectively.
- Proactive approach, with strong problem-solving skills.
- Bachelor’s degree in business administration, Management, or a related field is preferred
