My client, a small real estate investment firm based in the Lower East Side of Manhattan, is seeking a Team Assistant to join their close-knit team on a part-time, temporary basis. The role includes a mix of administrative support and hands-on errands. Expected hours are approximately 8–10 per week. Mostly on-site, but some tasks may be completed remotely.
The client is open to considering students and is willing to accommodate class schedules. Please note: they are looking for someone who can provide long-term support. This is an excellent opportunity for a junior or aspiring business support professional looking to gain experience in the real estate investment space.
WHAT YOU’LL DO
- Provide day-to-day administrative and operational support to the Managing Partner and Analyst.
- Run personal errands, such as picking up lunch and coffee for the team, grocery shopping, and locating specialty items (e.g., rare sodas or hard-to-find products).
- Coordinate travel logistics for the team, eg. flight bookings, ground transportation, and accommodation bookings.
- Research and book reliable third-party vendors/contractors to resolve on-site technical issues (e.g., optimizing high-speed Wi-Fi on the roof and in the backyard, installing a security camera system on the private roof deck).
- Obtain quotes from vendors and contractors for various property-related projects (e.g., electrical work for a hot tub, door removal and patching, minor renovations).
- Assist with setting up monitoring systems (e.g., temperature and humidity controls) for an art collection.
- Help set up a high-quality coffee setup at the residence to replicate a favorite café experience.
- Manage incoming calls, emails, and physical mail, ensuring timely communication and follow-up.
- Use Microsoft Office Suite (Word, Excel, PowerPoint) to draft, format, and edit documents, reports, and presentations as needed.
WHO YOU ARE
- A hands-on, proactive, and flexible team assistant with some prior experience in business/administrative support.
- Confident working independently and completing tasks to a high standard with minimal supervision.
- Available to start immediately and hit the ground running.
- Able to commit to 8–10 hours per week, spread flexibly over several weekdays (Monday–Friday).
- Tech-savvy, with strong computer literacy and proficiency in Microsoft Office Suite, Google Workspace, cloud storage platforms, web browsers, and spreadsheets.
