About the role:

A well-established global consulting firm in the marine and automotive sector is expanding its operations in the UAE, and is seeking an organized and proactive Administrative Assistant to support day-to-day office management and administrative activities. This role is ideal for someone who thrives in a dynamic, professional environment and enjoys working with a busy team.

Key Responsibilities

  • Provide general administrative and office support to ensure smooth daily operations.

  • Manage correspondence, scheduling, and calendar coordination for senior staff.

  • Assist with document preparation, formatting, and filing (digital and hard copy).

  • Coordinate meetings, appointments, and travel arrangements as required.

  • Support HR and finance administration including expense tracking, onboarding coordination, and vendor payments.

  • Liaise with building management, suppliers, and service providers to maintain a professional and efficient office environment.

  • Maintain office supplies, manage deliveries, and oversee general upkeep of the workspace.

  • Assist in organizing internal and client meetings, events, and team activities.

  • Contribute to process improvement and administrative efficiency initiatives as the office expands.

Requirements:

  • Bachelor’s degree in Business Administration, Management, or related field preferred.

  • 2–4 years of experience in administrative, office, or executive support roles (experience in consulting, design, or corporate sectors an advantage).

  • Strong organizational and multitasking skills with attention to detail.

  • Excellent communication skills in English (written and verbal).

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with SharePoint or similar tools is a plus.
