About the Role:
Our client, a prestigious organization, is seeking a highly organized and proactive Chapter Manager / Administration Assistant to support its Dubai chapter. This role offers the opportunity to work closely with an exclusive community of CEOs, Founders, and business leaders, ensuring the seamless delivery of chapter programs, events, and member engagement initiatives.
The ideal candidate will be detail-oriented, service-driven, and able to manage multiple priorities while maintaining the highest level of discretion.
Key Responsibilities:

Coordinate and oversee all logistical aspects of high-level events, including learning programs, speaker sessions, leadership meetings, and retreats.

Manage vendor relationships, venue bookings, speaker coordination, and event follow-up.

Assist with event budgeting, cost tracking, and vendor negotiations.

Provide day-to-day administration support to the chapter leadership team.

Maintain accurate records across internal systems, ensuring up-to-date tracking of member activity and chapter performance.

Prepare reports, presentations, and documentation as needed.

Support the implementation of strategic chapter initiatives and operational improvements.

Act as a key contact for members, ensuring timely communication and exceptional service standards.

Coordinate RSVPs, event reminders, attendance lists, and follow-up communications.

Manage newsletters, announcements, and member updates.

Support the onboarding process for new members and maintain ongoing engagement with existing members.

Assist with budget planning and financial reporting.

Manage invoices, expense tracking, and vendor payments in line with internal guidelines.
Requirements:

Experience in administration, events coordination, or executive support—ideally within a membership organisation, consultancy, or professional services environment.

Strong organisational skills and the ability to manage multiple projects simultaneously.

Excellent communication and stakeholder-management abilities.

Proficient in Microsoft Office Suite; CRM or database experience is a plus.

Professional, discreet, and comfortable interacting with senior-level executives.
