Job Title: Contract EA (12-month contract)

Overview:
We are seeking a highly organised, proactive, and discreet Executive Assistant to provide high-level support to senior leadership within Corporate Finance. This role is responsible for managing complex schedules, coordinating meetings and travel, handling confidential information, and ensuring the smooth day-to-day running of the Executive Office. The successful candidate will act as a trusted partner, anticipating needs, managing competing priorities, and enabling executives to operate efficiently in a fast-paced environment.

Key Responsibilities:

  • Provide comprehensive executive support, including complex diary, inbox, and calendar management.
  • Coordinate domestic and international travel, accommodation, visas, and detailed itineraries.
  • Prepare meeting agendas, presentations, reports, briefing packs, and other business documentation.
  • Organise and coordinate internal and external meetings, ensuring all logistics are managed effectively.
  • Take meeting minutes, track actions, and follow up on outstanding items.
  • Manage confidential correspondence and maintain accurate records and filing systems.
  • Act as a key point of contact for internal and external stakeholders, maintaining professional relationships.
  • Screen communications, prioritise requests, and respond on behalf of the executive where appropriate.
  • Coordinate projects, events, and ad hoc business initiatives as required.
  • Monitor deadlines, manage competing priorities, and ensure timely completion of key deliverables.
  • Support the preparation of reports, presentations, and board or committee materials.
  • Identify opportunities to improve administrative processes and increase operational efficiency.
  • Provide wider administrative support to the Executive Office as required.

 

Requirements:

  • Previous experience as an Executive Assistant, Personal Assistant, or Senior Administrative Professional supporting senior executives.
  • Proven experience managing complex diaries, travel, and executive priorities.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Experience preparing reports, presentations, and meeting documentation.
  • Ability to manage confidential information with professionalism and discretion.
  • Experience supporting C-suite executives, Boards, or senior leadership teams is highly desirable.
  • Bachelor's degree or equivalent professional experience preferred.
