Executive Assistant
About the Role
We are seeking a proactive, highly organised Executive Assistant to provide comprehensive support to senior leaders within a fast-paced, dynamic organisation. This position will primarily support a C-level executive and collaborate closely with other senior stakeholders across the group.
Responsibilities
Your responsibilities will be broad, varied and require a high level of discretion, initiative, and attention to detail. You will:

Manage complex diaries and schedules for group executive directors.

Support the preparation of documentation including drafting, formatting, and editing presentations and reports.

Coordinate board pack preparation and assist with data gathering.

Organise international and domestic travel arrangements, including flights, accommodation, visas and ground transport.

Monitor and manage incoming and outgoing correspondence, prioritising and flagging follow-up actions as needed.

Respond to emails on behalf of executives, as directed.

Raise purchase orders and track invoices.

Compile and process expenses.

Maintain efficient filing systems and ensure accurate record keeping.

Assist with arranging internal events and townhall meetings in collaboration with other executive support staff.

Provide project-related assistance as needed.

Ensure meeting rooms are appropriately set up, including refreshments and catering.

Carry out occasional personal administrative tasks as requested.

Experience with international travel and working across different time zones.

Familiarity with managing high volumes of administrative tasks and supporting multiple stakeholders simultaneously.

Proven ability to manage cross-functional relationships and collaborate across departments.
Organisational Insight
An understanding of how complex, multi-site organisations operate will be valuable, along with an awareness of key business challenges and risks. You should be commercially aware and aligned with the goal of adding value through efficient executive support.
