Overview:
We are seeking a highly organized and proactive Team Assistant / Office Coordinator to support a fast-paced, client-focused team. This role will provide administrative, operational, and event coordination support to Project Coordinators and Consultants, ensuring the smooth execution of projects, meetings, and client deliverables.
Key Responsibilities:
Administrative & Operational Support
- Provide day-to-day administrative and coordination support to Project Coordinators and Consultants
- Prepare, format, proofread, and manage presentations, reports, proposals, status updates, and other client-facing documents
- Ensure all documentation is accurate, professionally presented, and aligned with company standards
- Organize and maintain digital and physical files and confidential documentation
- Provide ad hoc support to the wider team as required
Event & Meeting Coordination
- Assist with planning and coordinating meetings, interviews, and events
- Create and maintain invitation and attendance lists
- Track RSVPs and manage attendee communication
- Support the successful execution of internal and external events
Stakeholder & Team Support
- Build strong relationships with internal teams and external stakeholders
- Maintain professional communication at all times
- Support collaboration across teams to ensure smooth project execution
- Handle confidential information with professionalism and discretion
Requirements:
- Previous experience in administration, coordination, office support, or professional services environments preferred
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Strong attention to detail and problem-solving abilities
- Ability to work under pressure and manage changing priorities
- Strong interpersonal skills and ability to engage confidently with stakeholders at all levels
- Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
