Job Description
We are partnered with a fast-growing international technology company seeking an exceptional Executive Assistant to the CEO to become a trusted partner within the CEO's office. This is a highly international role requiring up to approximately six months of travel per year with the CEO, across Europe, the US, Asia & other global markets. The ideal candidate will genuinely enjoy international travel, adapt easily to different environments & be comfortable operating at a senior level while constantly on the move.
Key Responsibilities:
CEO Support:
- Own the CEO's diary, priorities & meeting schedule across multiple time zones.
- Act as a trusted gatekeeper, managing correspondence, requests & communications.
- Prepare briefings, presentations, agendas & supporting materials for meetings.
- Anticipate requirements & proactively resolve issues before they arise.
International Travel & Representation:
- Travel extensively with the CEO, potentially up to six months per year, including extended international trips.
- Manage complex itineraries, flights, hotels, visas, transportation & last-minute changes.
- Coordinate client meetings, investor engagements, conferences, trade fairs & institutional events.
- Accompany the CEO at formal dinners & high-level representative engagements.
Board, Investor & Legal Support:
- Coordinate Board, investor & senior leadership meetings, including materials, minutes & follow-up.
- Draft & review correspondence, presentations & business documentation on behalf of the CEO.
- Review contracts, agreements & legal documentation, identifying key points & issues for discussion with external counsel.
- Liaise with legal advisors & internal stakeholders on contractual & corporate matters.
- Handle highly confidential financial, strategic, commercial & personnel information.
Projects & Coordination:
- Track CEO priorities & ensure actions are followed through to completion.
- Coordinate with international offices, senior management & external stakeholders.
- Support special projects, company events, offsites & growth initiatives.
- Manage expenses, suppliers & administrative requirements while continuously improving processes.
About You:
- 3+ years' experience supporting a CEO, Founder, Partner or senior executive within a sophisticated international organisation; experience from top-tier consulting, professional services, investment or multinational environments is preferred.
- A legal background is essential, ideally a degree in Law with practical experience in contract review, corporate documentation or working closely with legal counsel.
- Native/C2 English with excellent written & verbal communication skills.
- Strong organisational skills, commercial awareness & confidence working with senior stakeholders.
- Excellent Microsoft 365 or Google Workspace skills.
- Italian language skills are advantageous.

You will have the judgement to understand when matters can be handled independently & when they should be escalated to external counsel.
You will be calm under pressure, highly adaptable & comfortable in formal international environments, with the flexibility to operate effectively across different countries, cultures & time zones.
Extensive travel is fundamental to this position. Candidates must be willing & able to spend up to approximately six months per year travelling internationally with the CEO.
