Executive Assistant to the COO
Location: New York City (On-Site)
Position: Full-Time
Schedule: Monday – Friday, 9:00 AM – 5:00 PM
Reports to: Chief Operating Officer
Salary - $110k-$130k

A dynamic and fast-growing strategic advisory firm is seeking an exceptional Executive Assistant to support the Chief Operating Officer and wider leadership team from its New York City office.

The Role
The Executive Assistant will play a critical role in supporting the smooth day-to-day operations of the business while acting as a trusted right hand to the COO. This position requires a highly organized, proactive, and solutions-oriented professional who can manage multiple priorities, improve operational efficiency, and help drive execution across the firm.
The successful candidate will be comfortable working across executive support, operations, scheduling, client coordination, internal processes, and special projects in a highly visible role.
Key Responsibilities
Executive & Operational Support
- Provide high-level support to the COO and leadership team
- Manage complex calendars, scheduling, travel coordination, and meeting logistics
- Support workflow management, resource allocation, and operational coordination across the firm
- Serve as a key point of contact for internal teams, clients, and visiting guests
- Assist with special projects and strategic business initiatives
Process & Performance Optimization
- Identify inefficiencies and support initiatives to streamline workflows and improve productivity
- Help develop and track operational KPIs and reporting metrics
- Assist with operational planning and cross-functional coordination
- Support the implementation and improvement of internal systems, policies, and procedures
- Ensure professionalism and consistency across all client interactions and engagements
Client & Team Coordination
- Help ensure the smooth execution of client engagements and deliverables
- Act as an escalation point for operational and scheduling issues
- Coordinate across advisors, support teams, and leadership to maintain seamless communication
- Support onboarding, hiring coordination, and team logistics as needed
Nonprofit & Project Support
- Assist with the coordination and administration of the organization’s nonprofit initiatives
- Support day-to-day operational tasks, program coordination, scheduling, and community engagement efforts
- Help ensure projects and initiatives are executed efficiently and professionally
Technology & Administrative Management
- Manage and maintain operational systems including CRM platforms, project management tools, billing systems, and documentation processes
- Support implementation of new tools and operational improvements as the firm scales
- Maintain data accuracy, organization, and process adherence
Financial & Administrative Support
- Assist with invoicing, expense management, budgeting coordination, and reporting
- Support operational cost tracking and administrative processes
- Help ensure compliance with internal procedures and best practices
Qualifications
Required Skills & Experience
- Previous experience in an Executive Assistant, Senior Executive Assistant, Chief of Staff support, or operational support role within a fast-paced environment
- Strong organizational, project coordination, and multitasking abilities
- Exceptional communication and interpersonal skills
- Ability to manage competing priorities with professionalism and discretion
- Highly proactive with strong problem-solving capabilities
- Proficiency in Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint
- Experience using Google Workspace including Gmail and Calendar
- Comfortable working with office technology and operational systems
