Job Description

Estate Manager – UHNW Private Family

Location: Cayman Islands
Salary: $200,000–$250,000 USD per annum
Benefits: Accommodation assistance provided
Travel: Occasional international travel required

We are seeking an exceptional Estate Manager to oversee two luxury private residences in the Cayman Islands for a UHNW family with an international property portfolio.

The family also maintains residences in Miami and Montana, although this position will be focused on the management and operation of their two Cayman Islands properties. One of these is a substantial new residence of approximately 20,000 sq. ft., currently under construction.

This is an exciting opportunity for an experienced Estate Manager to take ownership of household operations, recruit and develop an exceptional domestic team, and establish the systems, processes and service standards required to ensure both residences operate seamlessly.

The successful candidate will play an instrumental role in preparing the new property for occupation, implementing comprehensive household manuals and standard operating procedures, and creating a highly organized, efficient and welcoming environment for the family.

We are looking for a polished, proactive and hands-on professional who combines exceptional organizational skills with strong leadership, sound judgment and a genuine understanding of the expectations of a UHNW private household.

Key Responsibilities

Estate & Household Operations

  • Oversee the day-to-day management of both Cayman Islands residences, ensuring the highest standards of presentation, maintenance and service.

  • Establish and maintain efficient household operations, ensuring both properties are managed proactively and consistently.

  • Develop and implement comprehensive household manuals, standard operating procedures (SOPs), inventories, maintenance schedules and operational protocols.

  • Manage relationships with external contractors, suppliers, service providers and specialist vendors.

  • Oversee household budgets, expenditure, purchasing and financial reporting.

  • Anticipate the family's needs and ensure both residences are prepared to the highest standards ahead of their arrival.

  • Identify opportunities to improve operational efficiency, service delivery and the overall management of the properties.

New Residence Development & Operational Readiness

  • Play a key role in preparing the family's new 20,000 sq. ft. residence for occupation.

  • Liaise with contractors, designers and suppliers to support the transition from construction to a fully operational private residence.

  • Establish the property's operational infrastructure, including staffing requirements, service protocols, maintenance programs and household systems.

  • Oversee the procurement and organization of household supplies, equipment and operational essentials.

  • Ensure the residence is fully staffed, equipped and functioning efficiently ahead of the family's occupation.

  • Identify and resolve operational issues during the transition into the new property.

Staff Recruitment, Leadership & Development

  • Lead the recruitment, onboarding and training of household staff, building a professional and service-oriented team.

  • Establish clear reporting structures, job descriptions, schedules and performance expectations.

  • Provide ongoing leadership, supervision and development to ensure consistently exceptional standards.

  • Foster a positive, discreet and collaborative working environment.

  • Manage staffing levels and resources according to the family's occupancy, travel schedules and evolving requirements.

  • Maintain accountability across the household team while promoting a supportive and respectful working culture.

Family Support & International Coordination

  • Act as the principal point of contact for all operational matters relating to the family's Cayman Islands residences.

  • Develop a thorough understanding of the family's preferences, routines and lifestyle requirements.

  • Ensure both residences are impeccably prepared for the family's arrival and maintained to the highest standards throughout the year.

  • Liaise with the family's wider support network and teams in Miami and Montana as required.

  • Support private entertaining, family gatherings and special occasions.

  • Undertake occasional international travel in support of the family's requirements.

Candidate Requirements

  • Significant experience as an Estate Manager, Director of Residences or Senior Household Manager within a UHNW private household.

  • Proven experience managing substantial luxury residences and leading multidisciplinary domestic teams.

  • Demonstrable success in recruiting, developing and managing household staff.

  • Strong experience creating and implementing household manuals, SOPs and operational systems.

  • Previous involvement in establishing or opening a newly constructed private residence would be highly advantageous.

  • Excellent understanding of luxury household service standards, property maintenance, vendor management and budgeting.

  • Confident managing multiple priorities, complex logistics and changing family requirements.

  • Highly organized, resourceful and proactive, with exceptional attention to detail.

  • Strong interpersonal skills, emotional intelligence and the ability to communicate effectively with principals, staff and external stakeholders.

  • Absolute discretion, professionalism and respect for confidentiality.

  • Flexibility to travel internationally as required.

Personal Attributes

The family is seeking someone who is approachable, personable and naturally service-oriented, while bringing the authority and experience required to lead a high-performing household team.

The ideal candidate will be a confident decision-maker who takes genuine ownership of their responsibilities, anticipates requirements and approaches challenges with a calm, solutions-focused mindset.

They will be equally comfortable managing the finer details of household operations and overseeing larger projects, with the ability to establish structure and consistency without introducing unnecessary formality.

Above all, this individual will understand the importance of creating a welcoming, beautifully maintained and effortlessly functioning home for a young family.
