Job Description

A boutique law firm in the DIFC requires a highly proactive and organized Executive Assistant to support both the Legal and Business Development teams in Dubai. The ideal candidate will be detail-oriented, self-motivated, and comfortable managing both administrative and operational tasks in a structured, process-driven environment. You will be instrumental in the organisation of all office administration and ensuring deadlines are met, whilst supporting the Lawyer and Office Manager with a right first time approach. 

The key responsibilities of this role are:

  • Provide comprehensive administrative support including document management, scheduling, and follow-ups.
  • Maintain and organize physical and digital filing systems.
  • Prepare, format, and proofread documents with a high level of accuracy.
  • Track client files, checklists, and internal and external deadlines.
  • Liaise with the European office to ensure alignment of processes and documentation
  • Manage calendar entries, meeting schedules, and email responses accurately
  • Monitor and maintain office supplies, stationery, and document materials
  • Prepare and organize meeting rooms, ensuring all necessary catering, equipment and materials are ready
  • Responsible for the reporting and upkeep of overall office maintenance.
  • Coordinate courier services and document submissions.
  • Track and record all office-related payments, invoices, and expenses, ensuring timely processing and accurate filing.
  • Coordinate with the finance team and external vendors regarding payment queries and invoice follow-ups.

Requirements: 

  • Minimum of 2 years’ experience in a structured administrative role in the UAE.
  • Prior experience in a corporate environment is mandatory; legal, tax, or business advisory experience is highly desirable.
  • Strong organizational, multitasking, and prioritization skills with exceptional attention to detail.
  • Fluent in English language.
  • Proficient in Microsoft Office, Google Workspace and confident using cloud-based systems.
  • Comfortable with office equipment and providing basic IT support.
  • Able to manage routine tasks independently and consistently.
  • Strong work ethic, professional demeanor, and a proactive mindset.
