Job Description

Overview:

We are seeking a bilingual Executive Assistant, fluent in Mandarin Chinese and English, to provide high-level administrative and executive support to senior leadership. The successful candidate will manage complex calendars, coordinate travel, and act as a key liaison with Chinese-speaking clients, partners, and stakeholders, ensuring smooth communication and seamless day-to-day operations.

Key Responsibilities:

  • Manage complex calendars, schedule meetings, and coordinate domestic and international travel arrangements.
  • Act as the primary point of contact and interpreter/translator for Mandarin-speaking clients, partners, and stakeholders, both verbally and in written correspondence.
  • Draft, translate, and proofread correspondence, reports, and presentations in both English and Mandarin Chinese.
  • Coordinate and support meetings, calls, and events involving Chinese-speaking counterparts, including interpretation support where required.
  • Screen, prioritise, and manage incoming correspondence, emails, and calls.
  • Maintain and organise confidential files, records, and documentation.
  • Prepare expense reports, process invoices, and manage general administrative tasks.
  • Support cross-cultural coordination between regional and Chinese-speaking business units or partners.

Requirements:

  • Fluent in Mandarin Chinese and English, both written and spoken, with strong translation/interpretation ability.
  • Previous experience as an Executive Assistant or Personal Assistant supporting senior leadership, ideally within an international or multicultural environment.
  • Strong organisational and time-management skills, with the ability to manage multiple priorities under pressure.
  • Excellent written and verbal communication skills in both languages.
  • High level of discretion, professionalism, and cultural sensitivity when liaising with Chinese-speaking stakeholders.
  • Proficient in Microsoft Office and general office administration tools.
