Executive Assistant (Remote)

About the role:
We are looking for a highly organized, proactive, and resourceful Executive Assistant to provide end-to-end administrative and operational support to the Owner of multiple companies operating across India. The ideal candidate will be based in Dubai, comfortable working remotely, and experienced in managing complex schedules, travel, and communications across time zones.
This role demands a professional who can anticipate needs, handle sensitive information with discretion, and act as a reliable right hand to a busy entrepreneur overseeing multiple businesses.
Key Responsibilities:
Executive Support & Coordination

Manage the Owner’s calendar and daily schedule, including meetings, appointments, and calls, ensuring optimal time management across multiple companies and time zones.

Prepare meeting briefs, agendas, presentations, and follow-up documentation.

Handle and prioritize emails, messages, and calls; respond on behalf of the Owner where appropriate.

Track action items and ensure timely completion of tasks and commitments.

Maintain the highest standards of confidentiality and professionalism.
Travel & Logistics

Plan and coordinate domestic and international travel (flights, hotels, transport, visas, and itineraries).

Anticipate travel requirements and ensure smooth execution of all logistics.
Administrative & Operational Tasks

Assist with document preparation, reports, and filing systems (digital and physical).

Liaise with internal teams (finance, HR, operations, marketing, etc.) to ensure seamless coordination between the Owner and each business unit.

Oversee basic expense tracking, invoice follow-up, and vendor coordination.

Conduct research, prepare summaries, and support decision-making processes.
Client & Stakeholder Management

Schedule and manage client and partner meetings, both virtual and in-person.

Serve as a professional point of contact for clients, investors, and key stakeholders.

Follow up on meetings and action points to maintain smooth business relationships.
Requirements:

3–5 years as an Executive Assistant, Personal Assistant, or similar role supporting a senior executive or entrepreneur.

Exceptional written and verbal communication skills in English.

Strong organizational, time management, and multitasking abilities.

Tech-savvy; proficient with Google Workspace, Microsoft Office, Zoom, and tools like Asana, Notion, or Trello.
- Ability to anticipate needs and work independently with minimal supervision.
