Executive Assistant to CEO and Co-CEO

Location Dubai

Salary: 25,000 AED

4 days in office, Friday WFH

Remote Working July to Mid-August (6 weeks)

Seeking a highly strategic, proactive, and discreet Executive Assistant to provide comprehensive support to the CEO and Co-CEO. This is not a traditional administrative role; it requires strong business acumen, stakeholder management capabilities, and operational oversight within a fast-paced, high-growth environment.

The ideal candidate is resourceful, detail-oriented, and exceptionally trustworthy, with the ability to anticipate executive needs while ensuring seamless coordination across the organization.

 

Key Responsibilities

 

Strategic Executive Support

  • Manage complex and dynamic calendars, prioritizing high-impact engagements and critical business matters.
  • Act as a strategic gatekeeper, ensuring optimal time management while maintaining strong relationships with co-founders and senior stakeholders.
  • Track and monitor company-wide priorities, ensuring timely follow-ups across leadership teams.
  • Provide support on strategic initiatives and special projects driven by the CEO and Co-CEO.

Communication & Stakeholder Management

  • Serve as a primary liaison between the executive office and internal teams, investors, partners, and board members.
  • Draft and review high-level communications, presentations, and executive correspondence.
  • Maintain absolute confidentiality regarding sensitive business and organizational matters.
  • Represent the executive office with professionalism, diplomacy, and sound judgment.

Operational Coordination

  • Drive cross-functional alignment and ensure execution of key initiatives.
  • Track action items from leadership meetings and promote accountability.
  • Coordinate executive meetings, offsites, and board sessions.
  • Assist in maintaining performance dashboards and leadership reporting structures.

Travel & Event Management

  • Oversee complex domestic and international travel arrangements.
  • Coordinate executive participation in conferences, speaking engagements, and industry events.
  • Prepare comprehensive travel briefs, background materials, and meeting dossiers.

Administrative & Process Excellence

  • Manage executive expenses, documentation, and reporting requirements.
  • Maintain structured filing systems and organized documentation.
  • Continuously improve internal processes to enhance executive productivity and efficiency

 

Preferred Experience & Skills

 

  • Bachelor’s degree in business, Management, or a related discipline (preferred).
  • Minimum 10+ years of experience supporting C-level executives, founders, or senior leadership.
  • Prior experience in startup or high-growth environments is highly desirable.
  • Exposure to investor relations and board-level coordination is an advantage.
  • Exceptional organizational and prioritization abilities.
  • Strong business judgment and analytical problem-solving skills.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in MS Office, Google Workspace, and project management platforms.
  • Ability to operate independently with minimal supervision.
  • High emotional intelligence and strong stakeholder management capabilities.
  • Comfortable navigating ambiguity and rapidly shifting priorities.
