Job Title: Executive Secretary

Location: Dubai

Position Type: Full-time

Overview:

We are seeking a highly organised and proactive Executive Secretary to provide

comprehensive administrative and secretarial support to senior leadership. The

successful candidate will be responsible for managing schedules, coordinating

meetings and travel, handling confidential information, and ensuring the smooth day-

to-day operation of the executive office.

Key Responsibilities:

  • Provide high-level administrative and secretarial support to executives and senior management.
  • Manage complex calendars, appointments, and meeting schedules.
  • Coordinate domestic and international travel arrangements, including visas, itineraries, and accommodation.
  • Prepare correspondence, reports, presentations, agendas, and meeting materials.
  • Organise and coordinate internal and external meetings, including taking minutes and following up on action items.
  • Screen and prioritise emails, calls, and other communications.
  • Maintain accurate filing systems and ensure the confidentiality of sensitive information.
  • Liaise with internal departments, clients, suppliers, and external stakeholders on behalf of executives.
  • Process expenses, invoices, and other administrative documentation.
  • Coordinate events, conferences, and business functions as required.
  • Assist with office administration and support ad hoc projects and initiatives.

Requirements:

  • Bachelor's degree or equivalent qualification preferred.
  • Proven experience as an Executive Secretary, Executive Assistant, Personal Assistant, or in a similar administrative role.
  • Strong organisational and time management skills with the ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • High level of professionalism, discretion, and confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and thrive in a fast-paced environment.
  • Professional appearance and excellent interpersonal skills.
  • Fluency in English is essential; additional languages would be advantageous (Hindi, Tagalog).
